We are now looking for a highly capable Governance & Executive Officer to support the CEO, Board, sub committees and Executive Leadership Team in a role that combines high-profile governance exposure with trusted executive support.

 

ABOUT THE ROLE

Reporting to the CEO, the Governance & Executive Officer plays a pivotal role in supporting the smooth operation of Board and Committee functions while maintaining high standards of governance across the organisation. You will work closely with the Board, its sub committees and the Executive Leadership Team, building trusted relationships with senior leaders in a complex and high-profile environment. This role is responsible for coordinating meetings, preparing and distributing agendas and papers, recording accurate minutes, maintaining action registers, supporting directors with administrative needs, and providing executive support to the CEO. Located in our Melbourne office, this position is ideally suited to someone who is highly organised, discreet, detail oriented and motivated to contribute to continuous improvement.

 

WHAT YOU’LL DO

·Provide high-quality governance and executive support to the CEO, Board, sub committees and Executive Leadership Team.

·Coordinate Board and Committee meetings, including scheduling, agendas, meeting papers, logistics and timely distribution of materials.

·Maintain governance documentation and records, including registers, declarations, board materials and corporate records.

·Support the Company Secretary with governance processes, ASIC compliance and continuous improvement initiatives.

·Work collaboratively with internal and external stakeholders while handling sensitive information with a high level of confidentiality and discretion.

·Contribute to a high-performance culture by identifying opportunities to improve systems, processes and ways of working.

 

WHAT YOU BRING

·Demonstrated experience in governance, executive support, board administration or a similar senior coordination role.

·Experience supporting full-circle Board and Committee governance activities, including agendas, papers, minutes and action tracking.

·Exceptional attention to detail and strong written communication skills, particularly in minute-taking and documentation.

·A high level of discretion and the ability to manage confidential and sensitive information professionally.

·A proactive, outcome-focused and process-oriented approach, with the ability to pivot and remain effective in a fast-moving environment.

·Strong interpersonal skills and the ability to build trusted relationships with senior leaders and stakeholders at all levels.
