About the Role
We’re seeking a highly organised and proactive Custom Solutions Production Coordinator to support our Engineering Services team. Reporting to the Production Engineering Supervisor, you will play a key role in ensuring Custom Solutions jobs are production-ready, accurately documented, and progressing on schedule.
This is a hands-on coordination role that sits at the centre of production workflows — working closely with Production Engineers, fabrication technicians, procurement, and the warehouse team to ensure the smooth flow of materials, job packs, and production orders through the workshop.

Key Responsibilities
Production coordination & workflow support
- Track progress of active production orders and ensure jobs remain aligned to project milestones
- Conduct daily check-ins with fabrication technicians to maintain visibility of job status and escalate risks early
- Support job planning and sequencing based on schedule, resource availability and floor space
- Maintain workflow visibility using tools such as Monday.com, SAP and Microsoft Teams
- Assist Production Engineers to compile job packs and release jobs to the workshop once production-ready
- Support internal production orders (e.g., hose assemblies, relief valves, basic assemblies), ensuring order confirmations and timely communication
Procurement & inventory management
- Raise and manage purchase orders/production orders for Swagelok parts, third-party items, packaging and consumables
- Monitor material availability, proactively identify shortages or delays and escalate risks
- Coordinate with the warehouse team for accurate parts picking and staging for builds
- Manage project-specific backlog items and liaise with procurement/inventory teams to resolve supply issues
- Support receiving and inspection of incoming goods, documenting non-conformances where required
- Maintain SAP stock adjustments and consumable inventory records
Documentation & quality administration
- Ensure job documentation is accurate, controlled, traceable and filed throughout the production lifecycle
- Support collation of Manufacturers Data Reports (MDRs), including QA documentation, certificates, calibration records and As-Built drawings
- Assist with external document portals and customer submission trackers
- Maintain project documentation records in QT9 and other systems in line with SQS and ISO 9001 requirements
- Support invoice processing, job closeout activities and general administration
About You
Essential
- 1–2+ years’ experience in a production coordination, administration, or operations support role within a manufacturing/fabrication/engineering environment
- Strong Microsoft Office skills (Excel, Word, Outlook, Teams)
- Experience using an ERP system (ideally SAP) for purchase orders, job tracking and inventory management
- Excellent organisation and time management skills with the ability to juggle multiple priorities and deadlines
- Strong attention to detail and confidence working with structured processes and documentation
- Clear written and verbal communication skills and the ability to work with both technical and non-technical stakeholders
- Positive, proactive mindset with a continuous improvement approach
Desirable
- Experience with document control, job packs, MDRs, inspection records or quality documentation
- Familiarity with workflow tools (e.g., Monday.com, Trello)
- Exposure to ISO 9001 or quality systems
- Basic understanding of engineering components/fluid systems
- Forklift licence or material handling experience
