The opportunity
We are seeking an experienced Contracts Administrator with strong claims focus to join our commercial team. Reporting directly to the Senior Commercial Manager – East, this role is integral in supporting project delivery teams to manage commercial risks and objectives, protect value and optimise outcomes at an operational level.
You will take ownership of commercial outcomes, be proficient in various types of construction contracts, delivery models, subcontractor management and have an outstanding ability to communicate commercial and contractual concepts and transfer knowledge. You will be a primary point of contact for project teams and a commercial contact for internal/external relationships.
Candidates with a background in construction law, the ability to triage, prioritise and solve complex problems and strong numerical aptitude will be well placed to quantify disruption, delay, and variations in a manner that withstands scrutiny.
Key responsibilities
- Read and interpret contract documents (AS 4000, AS 4902, GC21, NEC3/4, FIDIC) to identify entitlement, notice obligations, and claim mechanisms.
- Prepare detailed claim sheets for each claimable event, including variations, extensions of time (EOT), disruption, and prolongation costs, with full supporting cost build-ups.
- Analyse schedules of rates, BOQ line items, and unit rate breakdowns to establish and quantify entitlement accurately.
- Compile contemporaneous records — site diaries, daily labour records, plant logs, and photographs — to substantiate cause-and-effect narratives within each claim.
- Maintain claim registers and variation logs across the project portfolio, tracking status, submitted value, assessed value, and outstanding amounts.
- Cross-reference Procore, ERP, or project accounting systems against contractual cost codes to verify cost-to-date figures underpinning each claim.
- Perform rate analysis, measured-mile studies, and labour productivity assessments to quantify loss of productivity claims.
- Submit completed claims to the client in accordance with contractual timeframes and notice requirements.
- Serve as the primary liaison between the company and the client on all claim-related matters, including delays, variations discrepancies, disputes, and recovery negotiations.
- Prepare and issue contractual notices, RFIs, and formal correspondence within prescribed timeframes to protect the company’s contractual position.
- Track client responses and assessments; identify gaps between submitted and assessed values and prepare rebuttal or supplementary submissions as required.
- Manage dispute resolution processes including adjudication submissions, Scott Schedule responses, and expert witness coordination where required.
- Perform financial modelling and scenario analysis to evaluate claim exposures, settlement ranges, and negotiation positions.
- Interrogate and reconcile schedules of rates, plant hire rates, material quotes, and subcontract pricing to validate rate-based claims.
- Ensure adherence to commercial, legal, risk management and corporate governance policies and procedures.
- Strong knowledge of the ‘back to back’ concept in contract formation, how to identify and implement ‘flow-down/up’ provisions into a contract hierarchy and then manage that dynamic during operation of the contract.
- Advanced understanding of the linkages between operational, financial, legal and commercial issues.
- Coaching, mentoring and delivering commercial & contract management training and best practice to staff
About you
You hold a Bachelor’s degree in Construction Management, Quantity Surveying, Civil Engineering, or a related discipline, with a minimum of seven t years’ hands-on experience preparing or managing construction claims in an Australian project environment. You also bring:
- Demonstrated expertise reading and administering incentivised target cost, schedule-of-rates and lump sum contracts under AS 4000, GC21, NEC4, or FIDIC.
- Proven ability to prepare end-to-end claim documents — from entitlement identification through to formal submission and client negotiation.
- Ability to be able to read, interpret programs and undertake critical path analysis.
- Strong written communication skills; capable of drafting structured, evidence-based claim documents and client correspondence.
- Astute commercial capabilities, acumen including demonstrated strong analytical and influencing skills.
- Advance interpersonal, communication and negotiation skills and the ability to develop and maintain mutually beneficial internal/external relationships.
- Advanced Microsoft Excel proficiency for cost build-ups, financial modelling, variation and extension of time claim preparation and claim tracking.
- Experience with Procore, Aconex, SAP, or equivalent cost control platforms preferred but not required.
