Description

About Ramsey Property Wealth

Ramsey Property Wealth is a premium Australian property investment advisory firm. Our buyer’s advocacy practice — Ramsey Buyer Advocacy — is the property acquisition arm of the business. We are growing nationally with Sydney and Melbourne offices opening soon.

About the role

The Acquisitions Coordinator is the operational backbone of our Buyer’s Advocacy team. You will prepare the due diligence packs that our Senior Buyer’s Advocates rely on, run contract administration cleanly across the team, and keep the division’s pipeline accurate. This is a pure operations role — no inbound enquiry handling, no client-facing sales, no qualification calls. Just clean, accurate, methodical operational support that makes the rest of the practice work.

This is a structured part-time role — 2.5 days per week (0.5 FTE), ideally including Mondays for the weekly pipeline report. Specific day pattern flexible by negotiation.

Option to extend hours or transition to full-time as the division scales nationally.

What you will do

  • Build complete property due diligence packs — comparable sales, general suburb research, body corporate records, building & pest, council records, flood & zoning checks
  • Run the contract administration workflow — Form 6 appointments, contract execution, conveyancer coordination, milestone tracking (cooling-off, finance, B&P, settlement)
  • Maintain accurate pipeline records across our CRM (Established properties /New Build properties and Premier Select products)
  • Produce the weekly pipeline report for the Head of Acquisitions (Monday 9am)
  • Coordinate division-wide calendar scheduling — inspections, agent calls, builder meetings
  • Liaise professionally with conveyancers and selling agents on every active deal

Essential — what we require

  • Demonstrated experience in Australian property contracts administration, real estate sales support, or buyer’s advocacy operations
  • Australian property market literacy — Form 6, cooling-off periods, contract conditions, conveyancing workflow, trust account basics
  • HubSpot CRM or comparable platform experience
  • Strong attention to detail, calm under pressure, proactive rather than reactive
  • Confident writing detailed emails — your work represents the firm’s premium operational standard
  • Confirmed availability for 2.5 days per week, ideally including Monday
  • Australian Citizen, Permanent Resident, or full unrestricted work rights

Working arrangement

Bowen Hills , hybrid working arrangement (typically 1.5 days in office, 1 day remote). 2.5 days per week (0.5 FTE) — Monday plus a negotiable 1.5 – 2 days.

Best suited to experienced Australian property administration professionals seeking a flexible part-time arrangement — often with caregiving responsibilities, semi-retirement plans, or other commitments.

How to apply

Apply via the application link below.

Our process: AI-led phone screen, recruitment-team interview, deep-dive interview with the Head of Acquisitions, a practical exercise (typically a contract administration scenario or DD pack task), values and culture conversation, reference checks prior to offer.

A note on the experience requirement: This role requires genuine Australian property contracts administration experience.

We are NOT looking for general administrative support, virtual assistant capability, or first-time experience with Australian property workflows.

If you have this experience, this role may suit you. If you don’t, this is not the right role.
