Practice Manager – PEHA Warringal

About the Role
We’re looking for an experienced and proactive Practice Manager to establish and lead the day-to-day operations of a brand new Emergency Department at Warringal Private Hospital in Heidelberg.
This role commences in early June 2026 to support onboarding, system setup, and operational readiness ahead of the Emergency Department opening (anticipated late July 2026, subject to construction timelines).
Once the Emergency Department is operational, you will work closely with the Site Director, hospital teams, and PEHA’s Operations Team to ensure the service runs smoothly, efficiently, and to a high standard. In this role, you will be responsible for coordinating doctors, managing practice operations, and supporting a positive and high-performing team environment.
This role is well-suited to someone with a background in specialist or GP practice management who is confident managing doctors, stakeholders, and the operational and financial aspects of a busy clinical environment.
Key Responsibilities
- Support pre-opening activities as part of the PEHA and hospital project team, including onboarding, systems setup, and operational preparation
- Manage day-to-day practice operations once the ED is operational
- Coordinate the doctor roster in collaboration with PEHA’s Medical Recruitment Team
- Provide administrative and operational support to doctors
- Work closely with the Site Director to support safe and efficient clinical operations
- Build strong working relationships with hospital administration and executive teams to support coordinated service delivery
- Work collaboratively with hospital admin staff to support efficient patient flow and service delivery
- Manage practice finances, including Medicare, DVA and billing processes
- Oversee reporting and ensure accuracy of financial and operational information
- Coordinate travel and accommodation for doctors where required
- Maintain a well-organised, efficient and professional practice environment
- Contribute to a positive team culture and support high standards of service delivery
- Support local stakeholder engagement activities where required, including liaison with GP referrers, WorkCover providers, and other relevant external stakeholders
About You
- Experienced Healthcare Practice Manager
- Strong understanding of medical administration and billing processes
- Confident working with doctors and building effective stakeholder relationships
- Highly organised with excellent attention to detail
- Confident working independently and making decisions
- Able to manage competing priorities in a fast-paced environment
- Comfortable engaging with external stakeholders where required
Experience
- Experience managing billing, financial processes and practice performance
- Experience working with medical practice systems
- Proven ability to manage practice operations and finances
- Experience supporting multiple doctors or a busy clinical environment
- Specific experience in an emergency department setting is not required
Desirable
- Experience managing a practice with 5+ doctors
- Knowledge of Medtech or similar systems
- Relevant qualification in Practice Management or similar
