PBS4 is seeking a highly organised and proactive Outreach & Rota Coordinator to support the effective delivery of our services. This is a key operational role focused on rota coordination, bank staff engagement, and ensuring continuity of high-quality care across our services.

About the Role

As Outreach & Rota Coordinator, you will play a central role in ensuring our services are safely staffed and our bank workforce is well supported.

Key responsibilities include:

  • Creating, managing, and maintaining staff rotas to ensure safe staffing levels across services
  • Coordinating short notice cover for sickness, annual leave and emergencies
  • Managing and supporting a bank staff workforce, including availability tracking and shift allocation
  • Providing aftercare and ongoing engagement with bank workers, ensuring they feel valued, informed and supported
  • Liaising closely with Service Managers to understand staffing needs and service priorities
  • Supporting recruitment onboarding processes for new bank staff
  • Monitoring staffing data, identifying trends, and escalating concerns appropriately
  • Ensuring compliance with working time regulations and organisational policies
  • Maintaining accurate records using digital rota and HR systems

About You

We are looking for someone who:

  • Has experience in rota coordination or workforce planning, ideally within health or social care
  • Understands the importance of safe staffing levels and responsive scheduling
  • Is confident communicating with frontline care staff and managers
  • Can remain calm under pressure and problem-solve quickly
  • Has strong administrative and IT skills (rota systems experience desirable)
  • Is organised, detail-focused, and able to manage competing priorities
  • Demonstrates discretion and professionalism when handling sensitive information
  • Experience working with or supporting bank/agency staff in a care setting would be highly advantageous.

PBS4 is a values led social care organisation, providing Neurodisability Services to individuals with Learning Disabilities, Autism and/or behaviours that may challenge. We support people living in their own homes, with their own tenancies, and we utilise Positive Behaviour Support as the framework for the support we provide.

Company Overview

PBS4 provides support to enable people with learning disabilities and challenging behaviour to have independent lives and to live in their own home. Our approach is underpinned by Positive Behaviour Support. Positive Behaviour Support is an approach mostly used to support people with learning disabilities whose behaviours challenge others. The goal is to shift the focus away from reducing challenging behaviour to understanding what that behaviour means and supporting people to get what they need better.
