ABOUT
THE ROLE
We’re looking for a freelance designer or
document production specialist to support legal and regulated documents on an
ad‑hoc basis.
The majority of the work will be document
production and typesetting, including formatting, amendments, version updates
and maintaining consistency across long‑form
documents (primarily Word and InDesign). Accuracy, attention to detail and
comfort working with legal or regulated content are essential.
From time to time, there will also be a need
to create supporting assets using existing creative concepts or templates (e.g.
covers, fact sheets, tiles, online banners, summaries or inserts). This work is
executional and template‑driven
– creative concepts, brand frameworks and guidelines will already be in place.
We’re open to candidates with a creative
design background, provided they’re comfortable spending the majority of their
time on structured document production and detailed typesetting work. Ideally Melbourne‑based, with the
flexibility to occasionally work from our office and be available by phone for
real‑time edits and
changes when documents are live or under review.
Your key responsibilities will
include:
1. Legal and regulatory document creation
- Typeset, format and produce long-form legal and
regulated documents in Word and InDesign, ensuring clean layout, consistency
and readability.
- Apply amendments and version updates accurately,
including tracked changes, controlled formatting and pagination management.
- Maintain document integrity: styles, headings,
tables, cross-references, charts (where applicable), master templates and brand
compliance.
- Support review cycles by turning edits around
quickly, reconciling feedback from multiple stakeholders and keeping files
audit-ready.
- Prepare final outputs for distribution
(print-ready and digital PDFs), including basic QA checks for accuracy,
accessibility and formatting consistency.
2. Design asset creation
- Create supporting design assets using existing
concepts, templates and brand guidelines (e.g., covers, fact sheets, inserts,
tiles and online banners).
- Adapt and resize approved creative across formats
and channels, ensuring brand consistency and high production quality.
- Source high‑quality photography and visual assets
aligned to brand guidelines and maintain and organise a centralised library of
approved, on‑brand images and visual assets to support marketing,
communications and presentation needs.
- Develop clear, visually engaging infographics,
diagrams and simple data visualisations for use in PowerPoint presentations and
internal or external communications.
- Prepare final outputs for distribution
(print-ready and digital PDFs), including basic QA checks for accuracy,
accessibility and formatting consistency.
- Maintain organised source files and version
control across all assets, templates and working documents.
3. Interactive form creation
- Build and maintain interactive forms (e.g., Word
and fillable PDF forms in Adobe Acrobat) using approved templates and required
regulatory wording.
- Set up form fields, validation prompts (where
applicable), tab order and basic user instructions to support a smooth
completion experience.
- Test forms end-to-end (desktop and mobile where
relevant) to ensure field behaviour, formatting and outputs are correct before
release.
- Manage updates and versioning across forms,
ensuring alignment with source documents.

pressure and delivering same-day turnarounds during review and feedback

- You have experience working in either design,
agency and marketing environments, adapting easily as priorities shift and
