Technical Assistant

Description

Purpose of the role:

This role works closely with the Deputy General Director and their Managers on a routine and strategic level. An administrative role supporting departments such as Technical, Facilities, Health & Safety and IT with planning, reviewing and analysing both data and operational tasks. 

Key Accountabilities:

  • Works with heads of departments in creating, reviewing and updating operational documentation
  • Maintains electronic documentation in a structured and controlled manner
  • Leads on documentation collation for key projects in a timely manner
  • Provide data analysis on both routine and ad hoc basis
  • Research and report creation into future organisational focus areas
  • Department or project scheduling
  • Arrange meetings, making sure any required facilities and technology are in place to ensure they run smoothly
  • Note Taking, capturing actions
  • Manage the Deputy General Directors diary and travel
  • Arrange national and international travel for Deputy General Director, with supporting itineraries, ensuring all relevant documentation is provided ahead of time
  • Admin tasks directly for the DGD as requested, such as expenses
  • Provide confidential administrative support
  • Ensure all documents and correspondence are professionally and accurately presented, in a timely manner and in line with GDPR requirements and stored in a shared area, as appropriate
  • Supporting the Facilities team operationally, such as reception cover
  • Complete other related projects or duties as requested

Job Requirements:

Qualifications:

  • Educated to A-level or equivalent

Experience/skills required:

  • Detailed knowledge and experience working with Excel, Teams and other Microsoft programs is essential.
  • Ability to learn and ‘pick up’ a wide range of scheduling and software programs.
  • High level of accuracy and attention to detail
  • Ability to maintain confidentiality, and operate with tact and discretion.
  • Experience of national and international travel and accommodation booking
  • Minute taking-experience

Functional/leadership competencies:

  • Ability to work as an individual and also part of a team
  • Taking initiative and have ability to plan own workload

Terms and conditions

Salary: £26,000 per annum

Hours of work: 35 hours per week

Holiday entitlement: 33 days inclusive of 8 statutory holidays, per annum

Pension: Opera North will automatically enroll you into the company pension scheme upon appointment and after 3 months’ service will contribute equivalent to 5.5% of your basic pay, should you meet the current legislative criteria. You will be required to make a personal contribution of 2.5% of your basic pay. We reserve the right to make future changes to our pension arrangements.
