Description

The Trust Accounts Analyst plays a vital role in the efficient management of financial processes within the organization. This position involves a range of responsibilities, encompassing debt recovery, accounts receivable, levy management, contract preparation, liquidity monitoring, and various other ad hoc financial tasks. 

 

Key Responsibilities 

 

Debt Recovery Management: 

  • Manage and monitor accounts in arrears. 
  • Communicate with debtors to facilitate payment arrangements and resolve outstanding issues. 
  • Collaborate with legal and collections teams when necessary to recover delinquent debts. 

 

Levy Inbox Management and Levy Issuance: 

  • Administer the levy inbox, ensuring timely and accurate responses to inquiries. 
  • Prepare and issue levy notices in accordance with established schedules and regulations. 
  • Maintain thorough records of levy communications and transactions. 

 

Process AR Invoices: 

  • Accurately process accounts receivable invoices, verifying billing details and ensuring compliance with organizational policies. 
  • Monitor and follow up on overdue invoices, facilitating timely payments. 

 

Preparing Contract of Appointment: 

  • Assist in the preparation and documentation of contracts of appointment for various stakeholders. 
  • Ensure that contracts are complete, accurate, and compliant with legal requirements. 

 

Issue Strata Fees: 

  • Calculate and issue strata fees or maintenance fees to property owners as per contractual obligations. 
  • Address any fee-related inquiries and provide necessary documentation. 

 

Manage Liquidity Status per Owners Corporation: 

  • Continuously monitor the liquidity status of the Owners Corporation’s accounts. 
  • Prepare reports and forecasts to assess financial health and liquidity needs. 
  • Recommend strategies to optimize liquidity. 

 

Other Ad Hoc Finance Tasks: 

  • Collaborate with the finance team on various special projects and ad hoc tasks. 
  • Assist in financial reporting, budget preparation, and audit support as required. 
  • Proactively identify opportunities to enhance financial processes and operational efficiency. 
  • Other Tasks may include, but are not limited to: 
  • Financial Data Entry: Accounts Associates are often responsible for entering financial data into accounting software, including invoices, expenses, and payroll information. 
  • Reconciliation: They may be required to reconcile bank statements, accounts payable, and accounts receivable to ensure accuracy and identify discrepancies. 
  • Record Keeping: Maintaining organized and accurate financial records is essential. Accounts Associates often need to keep track of financial transactions, receipts, and invoices. 
  • Assisting with Financial Reports: They may assist in the preparation of financial reports, including income statements, balance sheets, and cash flow statements. 
  • Communication: Accounts Associates often need to communicate with other departments, vendors, and clients regarding financial matters and discrepancies. 
  • Compliance: Ensuring compliance with relevant financial regulations and company policies is a vital part of this role. 
  • Supporting Audits: Accounts Associates may assist with internal and external audits by providing necessary documentation and information. 

 

Qualifications and Requirements: 

  • A bachelor’s degree in finance, accounting, or a related field is preferred. 
  • Previous experience in finance, accounting, or debt recovery is advantageous. 
  • Proficiency in financial software and Microsoft Office Suite, particularly Excel. 
  • Strong attention to detail, analytical skills, and problem-solving abilities. 
  • Excellent communication skills for effective interaction with team members, debtors, and stakeholders. 
  • Ability to manage and organise financial records and digital documents efficiently and be able to manage multiple tasks and meet deadlines in a dynamic work environment. 
  • Knowledge of relevant financial regulations, laws, and accounting principles is a plus. 
  • Ethical Conduct: Integrity and ethical behaviour are vital, as Accounts Associates deal with sensitive financial information. 
  • Adaptability: The accounting field can be subject to changes in regulations and technology, so adaptability is beneficial.
