About the Role
This role is ideal for someone who thrives in a busy dental environment and enjoys balancing leadership, patient experience, team coordination and operational excellence.
You’ll work closely with the Multi-Site Practice Manager to ensure smooth day-to-day clinic operations, strong patient flow, team support and operational efficiency across both the clinical and administrative functions of the practice.
You’ll be the go-to person within the clinic – helping keep the day running smoothly while fostering a positive and professional team environment.
What You’ll Be Responsible For
Daily Operations & Patient Flow
- Coordinating daily clinic operations and workflow
- Managing appointment book efficiency and patient readiness
- Supporting providers to maintain on-time schedules
- Ensuring smooth communication between front desk and clinical teams
- Running daily team huddles and coordinating workflow priorities
Team Leadership & Coordination
- Supporting and coordinating dental assistants and reception staff
- Assisting with rostering and staffing coordination
- Supporting onboarding and team development
- Creating a positive, collaborative and accountable culture
Clinical & Operational Coordination
- Assisting with treatment scheduling and clinical workflow management
- Coordinating lab cases, surgery logistics and patient preparation
- Maintaining stock levels and managing ordering of supplies
- Supporting compliance with infection control and clinic protocols
Financial & Operational Support
- Monitoring consumables and maintaining cost discipline
- Supporting operational efficiency and resource management
- Assisting with reporting and operational updates
What We’re Looking For
- Experience in dental reception, senior dental assisting or practice coordination
- Leadership experience or readiness to step into leadership
- Strong organisational and time management skills
- Ability to multitask and stay calm under pressure
- Excellent communication and people skills
- Experience using CareStack and/or Practika PMS software highly regarded
- Understanding of dental implants and All-on-X workflows is a strong advantage
- Someone who genuinely enjoys supporting both patients and team members
