We are a premium, patient-centered clinic focused on creating an exceptional experience from the very first interaction through to the completion of treatment. As our Front Office Coordinator, you’ll become the welcoming face of the clinic and play a key role in helping patients feel comfortable, informed, and supported throughout their journey.
The Role
This is more than a reception role – you’ll be the calm, confident presence at the heart of the clinic and the first impression of the Nova brand.
Working closely with clinicians, Treatment Coordinators and the wider team, you’ll help ensure the clinic runs smoothly, appointments are coordinated seamlessly and every patient receives outstanding service at every touchpoint.
This is a full-time position worked over 4 days per week:
- Monday to Wednesday: 7:45am – 5:15pm
- Thursday: 7:45am – 7:30pm
Key Responsibilities
- Welcoming patients and visitors with warmth and professionalism
- Managing front desk operations, patient check-in/check-out, and enquiries
- Coordinating appointments across consultations, diagnostics, surgery, and follow-ups
- Managing incoming phone calls and emails with confidence and discretion
- Supporting patient communication and ensuring an exceptional experience at every touchpoint
- Processing payments, documentation, and patient records accurately
- Assisting with administrative tasks including filing, scanning, and document preparation
- Maintaining a tidy, organised, and premium reception environment
- Coordinating closely with clinicians and the wider team to support smooth clinic flow
About You

- Previous experience in dental, medical, specialist healthcare, or professional reception environments
- Exceptional communication and interpersonal skills
- Professional presentation and a warm, empathetic approach
- Strong organisational skills and high attention to detail
- Confidence using digital systems and practice management software
- The ability to multitask and remain calm in a fast-paced environment
- A proactive, solutions-focused mindset with a genuine passion for patient care
- CareStack knowledge – advantageous
- Implant dentistry knowledge or experience – advantageous
