As NDSS’ Receptionist / Client Admin Assistant, you will be the welcoming face and first point of contact for participants, families, staff, and stakeholders. You will support our client intake and rostering processes, manage daily office operations, and provide administrative support to the leadership team to ensure smooth and compliant service delivery.
Purpose of the Role
To deliver a professional, welcoming, and responsive front-of-house service while providing essential administrative and compliance support to NDSS. This role ensures effective communication between clients, staff, and the organisation, contributing to high-quality participant care and operational efficiency.
Key Duties
- Act as first point of contact at reception: answer calls, emails, and enquiries promptly.
- Meet, greet, and assist clients, families, visitors, and stakeholders.
- Support client intake: process documentation, assist with handovers, update records.
- Provide rostering support: update ShiftCare with cancellations/changes and step in when the Rostering Manager is unavailable.
- Assist with scheduling staff communication and participant appointments.
- Maintain accurate filing, record-keeping, and data entry in line with NDSS policies.
- Take minutes and action points at administration meetings.
- Handle mail collection/distribution, petty cash, and office/house supply inventory.
- Prepare standard documents, reports, and correspondence with accuracy.
- Maintain confidentiality regarding company operations, client information, and staff records.
- Support leadership and admin teams with delegated compliance and operational tasks.
- Attend team meetings and contribute to continuous improvement initiatives.

Qualifications & Compliance Requirements
Minimum 2 years’ experience in administration, reception, or client services (NDIS/disability sector highly regarded).
Working With Children Check (Employee).
NDIS Worker Screening Check.
Current Australian Driver’s Licence.
Certificate or Diploma in Business Administration (desirable).
