About the role

The Project Coordinator provides essential administrative, organisational, and logistical support across the portfolio of projects managed by the Projects and Partnerships department. Playing a central role in ensuring program-level consistency and project efficiency, this position is responsible for standardising documentation, managing reporting cycles, overseeing shared resources, and facilitating clear communication across all projects, making it an ideal opportunity for a detail-oriented professional who thrives in a dynamic, multi-project environment.

What You’ll Be Doing:

As our Project Administrator, you’ll be involved in a diverse range of tasks, including:

  • Creating, maintaining, and governing project folders and documentation to ensure a single, accurate, and accessible source of truth across the portfolio
  • Processing invoices, tracking expenses, and assisting with consolidated budget monitoring across all projects
  • Leading and managing the Project Administrator, providing direction, oversight, and quality assurance across their day-to-day tasks and operational builds, including course pages, LXP modules, and blog content, to ensure adherence to established standards
  • Exporting, collating, and visualising program and project data for monthly, quarterly, and annual senior management reporting and strategic decision-making
  • Preparing and distributing project status reports and presentations to internal and external stakeholders
  • Serving as a central communication link between Project Managers, team members, internal stakeholders, vendors, and clients, coordinating activities, requests, and deliverables across teams
  • Maintaining and updating learning hub pages and build course pages, LXP modules, and blog content as required
  • Developing and maintaining project schedules across the program using project management software
  • Monitoring overall program progress, identifying systemic risks or resource conflicts, and proactively escalating issues to the Project Manager

Who You Are: Our Ideal Candidate

We’re looking for someone who has:

  • Exceptional organisational skills to manage documentation and priorities across concurrent projects. 

  • Strong proficiency in data visualisation tools (e.g. Excel, Power BI) for clear reporting. 

  • Effective communication and facilitation skills for liaising across diverse stakeholders. 

  • Strong proficiency in project management software (Monday or Jira) and shared drive/document management systems. 

  • Experience in an administrative, coordination, or program support role, ideally within a PMO. 

  • Proven experience in data collation, analysis, and presenting key project metrics (charts, dashboards) to senior stakeholders. 

  • Experience in managing project documentation and establishing governance for data and file management across multiple initiatives.
