About the Role

We’re looking for an experienced Medical Administration Officer to join our fast-paced clinic operations team.

This is a high-volume administrative role that requires strong attention to detail, excellent organisational skills, and the ability to confidently manage competing priorities in a busy healthcare environment. You’ll play a critical role in supporting clinicians, pharmacies, patients, and internal departments through efficient coordination of administrative and operational workflows.

You’ll be responsible for managing a large volume of inbound and outbound calls, completing accurate data entry across multiple systems, handling time-sensitive administrative tasks, and ensuring patient records and documentation are maintained to a high standard.

This role is best suited to someone who thrives in a structured but fast-moving environment, enjoys problem-solving, and can maintain accuracy and professionalism while working under pressure.

What You’ll Be Doing

You’ll manage high-volume communication and workflow coordination.

You’ll act as a key administrative support point for patients, clinicians, pharmacies, and internal teams, managing a high volume of inbound and outbound calls, correspondence, and operational enquiries each day.

You’ll be expected to communicate professionally and efficiently while navigating multiple systems, prioritising urgent matters, and ensuring workflows continue moving smoothly.

You’ll keep critical administrative processes running efficiently.

Your day will involve a wide range of detailed administrative responsibilities, including:

  • Managing high-volume administrative workflows and task queues
  • Accurate and efficient data entry across multiple systems
  • Maintaining confidential and compliant patient records
  • Supporting prescription and clinic administration processes
  • Processing payments and handling billing enquiries
  • Managing incoming and outgoing correspondence
  • Coordinating with clinicians, pharmacies, and healthcare providers

You’ll bring accuracy and consistency to your work, with strong attention to detail. You’ll manage records, resolve discrepancies, and juggle competing priorities efficiently, while staying organised and adaptable in a fast-paced healthcare environment. Your work will support the effectiveness of the wider healthcare team and meet all company and privacy requirements.

Key Responsibilities

  • Manage a high volume of inbound and outbound calls
  • Complete high-volume data entry with a strong level of accuracy
  • Maintain confidential patient records and documentation
  • Process patient payments and billing enquiries
  • Support prescription and clinic administrative workflows
  • Liaise with clinicians, pharmacies, and healthcare providers
  • Monitor and manage administrative inboxes and task queues
  • Escalate urgent or complex matters appropriately
  • Provide day-to-day operational and administrative support

Availability

  • Shifts between 8:00am – 6:00pm, Monday to Friday
  • Full-time position
  • Immediate start preferred
