The Role

A fixed term contract role based out of our Sydney Office – Please Only Apply If You Currently Live In Sydney. This is not a remote role.

The Transformation Hub Co-Ordinator works closely with the Head of Transformation in providing operational, governance and administrative support to the Transformation Hub, enabling the effective delivery of strategic initiatives and a consistent Quarterly Business Review (QBR) cadence. The role ensures co-ordination across internal stakeholders, alignment with internal technology governance frameworks and effective engagement with external vendors, while producing high-quality, executive-ready artefacts and reporting.

Key Deliverables and Responsibilities

Transformation Hub Operations

  • Support the Head of Transformation in coordinating day-to-day administrative and operational activities of the Transformation Hub
  • Maintain hub calendars, forums and meeting cadence (QBRs, steering committees, working groups)
  • Prepare agendas, meeting packs, minutes, action logs and follow-ups
  • Maintain initiative registers, dependency tracking and decision logs

Quarterly Business Review (QBR) Support

  • Co-ordinate planning and logistics for QBRs
  • Collate inputs from internal teams and vendors
  • Support preparation of executive-level QBR materials
  • Track actions and outcomes arising from QBRs

Governance Administration

  • Ensure initiatives follow internal governance frameworks and standards
  • Administer agreed technology governance processes on behalf of the Transformation Hub
  • Act as a liaison between the Transformation Hub and other business units as required
  • Track stage gates, approvals and required artefacts
  • Coordinate and support governance, reporting and assurance activities, including retrospectives and post-implementation reviews (PIRs)

Vendor and Stakeholder Co-ordination

  • Provide co-ordination support for Project Manager/Product Owner–led engagement with external vendors and partners
  • Maintain visibility of vendor deliverables, milestones and dependencies across initiatives
  • Support contract and Statements of Work (SoWs) administration processes in collaboration Corporate Services
  • Enable consistent communication and alignment between internal teams and external vendors

Reporting and Visibility

  • Maintain initiative status reporting, RAID logs and benefits tracking
  • Produce concise, accurate and executive-ready status reports
  • Support ad-hoc reporting and analysis as required.

Skills & Experience

  • Strong organisational, co-ordination and time-management skills
  • Excellent written and verbal communication skills
  • Experience supporting programs, initiatives or transformation offices
  • Ability to work with multiple stakeholders across business and technology
  • High attention to detail with the ability to produce executive-quality outputs
  • Comfortable operating in a dynamic, fast-paced environment with changing priorities
  • Understanding of technology delivery and governance concepts
  • Experience working with external vendors or consulting partners
  • Experience in regulated or complex environments (e.g. financial services, insurance, health)
  • Familiarity with project or program management methodologies (agile, waterfall, hybrid)
  • Familiarity and competence with common delivery and collaboration tools including Jira, Confluence, Miro, Microsoft PowerPoint and Microsoft Project.

Formal Qualifications

  • Project or program management qualifications highly desirable
  • Business, management, IT or related degree desirable.
