The Opportunity

We have an exciting opportunity in our Insurance Litigation team for an Administration Assistant to join our Maroochydore office.

This role is currently offered on a casual part-time basis, however we are open to shaping the position for the right candidate. For someone seeking long-term growth with the firm, there is potential for the role to become permanent full-time. We also welcome applications from candidates who are currently studying their Law degree and looking for casual, part-time experience as a Law Clerk to complement their studies.

In this role, you will support our team of Legal Secretaries with a range of administrative tasks whilst gaining valuable on-the-job mentoring, training and support within a collaborative legal team environment.

The role

Our ideal candidate will have transferable experience in an administrative setting and is seeking an entry-level opportunity to gain hands-on experience in legal practice. Accuracy, attention to detail and professionalism will be essential, as you will be responsible for supporting our legal team and ensuring documents are prepared and managed in a timely and compliant manner.

Your responsibilities will include:

  • Preparing basic legal documents and correspondence
  • Preparing and issuing monthly tax invoices
  • Receipting and processing payments
  • Filing documents with the Courts
  • Scheduling meetings and managing calendars
  • Diary management
  • File management, including saving emails and correspondence
  • Directing telephone enquiries
  • Liaising with stakeholders, including clients, Lawyers, Barristers and Principals
  • Opening new files and undertaking conflict searches
  • Digital archiving and document management, ensuring accurate and efficient electronic file maintenance
  • Mailing documents
  • Other general administrative tasks as required

Role requirements

As this is a junior role, we recognise you may not have prior legal experience. What matters most is your attention to detail, motivation and commitment to learning.

In addition, you will demonstrate:

  • Outstanding time management skills and a strong commitment to consistency
  • Initiative and a proactive approach to tasks
  • The ability to work independently while thriving in a collaborative team environment
  • Confidence in building professional relationships with colleagues and clients
  • Strong proficiency in Microsoft 365 and a natural aptitude for technology
