CONSTRUCTION AND OFFICE OPERATIONS COORDINATOR Location: Traralgon

Your Role

As a Construction and Office Operations Coordinator, you’ll be a key point of contact for the Integrated Delivery Team, providing high-level administrative, operational and coordination support across both project delivery and office functions.

You’ll:

  • Coordinate meetings, workshops and reporting activities, including preparing agendas, taking minutes and tracking action items
  • Support Senior Leaders with the preparation of reports, papers and key project documentation for governance forums and stakeholders
  • Manage document control processes, ensuring contracts, change orders and deliverables are accurately stored and maintained
  • Provide proactive scheduling, travel coordination and administrative support to maximise team efficiency and delivery outcomes
  • Facilitate communication across team members, stakeholders and leadership, ensuring alignment and timely information flow
  • Support fleet coordination, including vehicle bookings, maintenance scheduling and readiness for staff use
  • Oversee day-to-day office operations in the Traralgon office, including supplies, facilities, onboarding support and IT coordination
  • Coordinate office events, team functions and ensure a positive, well-organised workplace environment

You’ll Need

  • Demonstrated experience in an administrative, project coordination or executive support role within a complex environment
  • Experience supporting senior leaders and contributing to project delivery outcomes
  • Strong organisational skills with the ability to manage competing priorities and deadlines
  • Knowledge of document management systems and administrative processes
  • Excellent interpersonal, written and verbal communication skills, with the ability to liaise effectively with stakeholders
  • A proactive, adaptable and team-oriented mindset, with a focus on continuous improvement
  • Proficiency in Microsoft Office suite, particularly Excel, PowerPoint, SharePoint and MS Teams
  • Tertiary qualification in Business Administration, Project Management or a related field (desirable)
  • A high level of computer literacy
