Description

This is a role for someone who naturally looks at how things are working — and immediately sees how they could work better. 

We’re looking for a Utilisation Coordinator who brings a strong maximiser mindset. Someone who notices gaps, patterns, and inefficiencies, and takes action to improve them — not later, but now. 

What this role is really about: 

  • Maximising every available session — turning gaps into booked services 
  • Proactively identifying and acting on underutilisation trends 
  • Staying one step ahead of cancellations and quickly backfilling capacity 
  • Using waitlists strategically to improve both utilisation and client experience 
  • Keeping calendars accurate, current, and aligned across teams 
  • Surfacing risks early and focusing effort where it has the biggest impact 

What success looks like: 

  • You don’t wait for gaps to be flagged — you find them first 
  • You spot patterns (repeat cancellations, unused capacity) and act quickly 
  • You follow things through — nothing sits unresolved 
  • You prioritise the work that will have the greatest impact on utilisation 
  • You help create a rhythm where capacity is consistently filled and visible 

We’re looking for someone who: 

  • Has experience in scheduling, rostering, utilisation or service operations 
  • Brings a strong bias for action and operational discipline 
  • Is confident working across systems (Salesforce, spreadsheets, calendars) 
  • Communicates clearly and collaborates across teams 
  • Gets energy from improving systems and making things run better
