Description

We’re looking for a friendly, organised and customer-focused Customer Care Representative to join our Client Services team.

Our Customer Care Representative plays a critical role in this, as the first friendly face parents and kids see when they come into the Learning Links office. Our Client Services team help to set the climate in the office, creating a warm and welcoming environment before sessions commence!

This is full time position in Bella Vista office. The hours of this role are:

Monday – 9.00am – 6.00pm

Tuesday- 10.30am-6.00pm

Wednesday- Non-work day

Thursday – 9.00am -6.00pm

Friday – 9.30am -5.00pm

Saturday- 9.00am -4.30pm.

Your role:

This is a pivotal front-of-house and administrative role where you’ll ensure every customer has a positive and seamless experience. You’ll be the first point of contact for families and stakeholders, providing support via phone, email and in person, while keeping operations running smoothly behind the scenes.

Responsibilities:

  • Greet and welcome kids and parents.
  • Create a safe and friendly environment in our waiting rooms.
  • Deliver exceptional customer service across phone, email and face-to-face interactions.
  • Manage bookings, cancellations and customer enquiries.
  • Maintain accurate records in systems (e.g. Salesforce).
  • Monitor and follow up on payments and outstanding accounts.
  • Provide administrative support including scheduling and documentation.
  • Support clinicians and staff with coordination and communication.
  • Coordinate social office activities – e.g., birthdays, morning teas, social events.
  • Maintain a clean, safe and welcoming reception and centre environment.
  • Contribute positively to team culture and continuous improvement initiatives.

We also encourage our Customer Care team to be health, safety, and wellbeing champions, including by being our trained first aiders. First Aid and CPR training and refreshers will be provided in addition to an allowance.

What you’ll bring:

  • Relevant administration qualifications and /or previous experience in a customer service or administration role (2+ years preferred).
  • Excellent customer service skills, with the ability to communicate effectively and professionally with diverse stakeholders and communities, verbally and electronically.
  • Capacity to implement administration procedures and instructions, document control and records management systems and processes.
  • Excellent organisational skills and attention to detail.
  • Ability to multitask and manage competing priorities.
  • Confidence using MS Office (Word, Excel, Outlook).
  • A proactive, team-oriented mindset with strong problem-solving ability.
