Glenelg BMW, part of the award-winning, family-owned Jowett Motor Group, is seeking an organized and detail-oriented Admin Delivery Coordinator to support our dealership operations in a full-time, Monday to Friday role.
This position offers a mix of office-based work, time on the dealership floor, and visits to off-site stock locations, with a high level of interaction across internal departments and with customers.

About the role
The Admin Delivery Coordinator is responsible for the end-to-end coordination, control, and execution of all new and used vehicle deliveries, ensuring a seamless customer experience, accurate stock control, and full compliance with dealership, BMW Australia, and regulatory requirements from JMG Head Office.
This role acts as a central operational link between New Cars, Used Cars, Service, Warranty, Registration, and Logistics partners, while also providing senior support during peak operational periods.
Key responsibilities
1. Vehicle Delivery Coordination (New & Used)
- Coordinate and manage all new and used vehicle deliveries from the PD stage to booking the vehicle in for delivery.
- Maintain and control the delivery sales log, ensuring accuracy, timeliness, and visibility.
- Schedule deliveries in line with sales commitments, workshop capacity, and customer expectations.
- Manage delivery stops, campaigns, and clearing actions as directed by management and BMW Australia.
2. Stock Control & Logistics
- Provide hands-on stock control support for on-site and off-site vehicles.
- Manage off-site stock control via Dynamics, ensuring data accuracy and vehicle traceability.
- Conduct regular stock audits, reconciliations, and discrepancy investigations.
3. Pre-Delivery & Compliance Checks
- Oversee and validate Pre-Delivery (Pre-PD) checks before customer handover.
- Ensure completion and accuracy of: Plate allocation, Logbook checks, Registration documentation, and Vehicle compliance requirements.
- Conduct new vehicle delivery checks, reporting damages or discrepancies promptly.
4. Registration & Delegation Support
- Provide support for trading registrations and used vehicle registrations.
- Act as a delegate for registration processes as required.
- Ensure all registrations comply with state regulations and internal policies.
6. Service & Reception Support
- Provide reception coverage during service rush periods, ensuring customer flow and professionalism.
- Support Service Advisors and Concierge teams during high-volume times.
- Maintain a customer-focused approach aligned with dealership standards.
7. Service Loan Vehicle Fleet Management
·Manage the Service Loaner Fleet, including:
- Allocation and scheduling.
- Condition reporting (Advisors to inspect and the coordinator to examine & spot check.)
- Compliance and registration checks.
- Ensure loan vehicles are presented to brand and operational standards.
About you
You’ll bring:
- Proven experience in vehicle delivery coordination, stock control, or sales operations.
- Strong understanding of new and used vehicle processes, registrations, and compliance.
- High attention to detail and strong administrative capability.
- Confident use of dealer management systems (e.g. Dynamics or equivalent).
- Ability to prioritize workload in a fast-paced environment.
- Experience in a premium automotive brand environment.
- Registration delegation authority experience.
- Warranty administration exposure.
- Highly organised and process-driven.
- Calm and professional under pressure.
- Strong communicator with internal teams and customers.
