Seeking a Practice Manager to lead a multidisciplinary team in women’s health!

The Jean Hailes Clinic is a highly regarded multi-disciplinary specialist women’s health clinic located in Melbourne’s central business district. The Clinical Operations team (non-clinical practice staff and nurses) supports the delivery of a wide range of high-quality clinical services from approximately 40 specialist health contractors. The clinicians include gynaecologists, endocrinologists, vulval dermatologists, general practitioners and allied health practitioners.

About the Role

The Practice Manager is responsible for managing the day-to-day operations in the Jean Hailes Clinic to ensure safe, high-quality care is provided. Ensuring employees and clinician-contractors remain engaged with the organisation through timely communication, is a key component of the role. The Practice Manager will identify and implement opportunities to improve operations and clinical governance, working with the Nurse Coordinator, CEO and the Clinical Advisory Team.

Key responsibilities:

Leadership

  • Oversee the day-to-day functioning of the clinics, including the timely resolution of complaints and issues, appointment book management and clinic utilisation.
  • Lead recruitment, induction and development of Patient Services Team members to ensure high performance and continuing professional improvement.  
  • Ensure timely and transparent communications with employees and clinician-contractors.
  • Continuously improve administrative and clinical operations.
  • Support the Team Leader and Nurse Coordinator to manage their respective teams and ensure smooth daily operations

 

Management

  • Coordinate maintenance of the clinic premises, including the hardware and software
  • Oversee Patient Services Team workflows and support the Team Leader to ensure efficient processes and patient services.
  • Ensure Medicare billings and accounts management are actioned regularly and up to date- Provide monthly clinic performance reporting to ensure operational targets are achieved
  • Manage and log patient complaints and clinic incidents with the assistance of the Lead Clinician when required.
  • Oversee Occupational Health & Safety within the clinics, (includes providing good infection control and first aid) escalating any concerns as appropriate and maintaining compliance records.
  • Ensure work occurs in line with governance systems, including but not limited to, policies, procedures and regulatory requirements

 

About You

Essential Criteria

To be considered for this role you must have:

  • Minimum 3-4 years practical experience managing daily operations in a large private multidisciplinary medical practice or equivalent environment
  • Experience managing a team and budget in a clinic environment
  • Experience with Best Practice and Hot Doc software or equivalent clinic management software.
  • Monitor and manage the clinics financial performance, revenue forecasting, and expense management
  • A dynamic personality able to motivate and work collaboratively with staff
  • Knowledge of MBS billing or other Healthcare funding
  • Excellent communications skills – written and verbal

Desirable Criteria

  • Medical Director, Best Practice or Genie experience
  • Experience and understanding of quality standards and practice accreditation
