HumanAbility is a Jobs and Skills Council for the health, human services, aged care and disability, sport & recreation and early childhood industries.  

HumanAbility’s objective is to advance education by supporting skills and workforce development for the above specified industries. It is a values-based organisation, that is not-for-profit, industry-owned and led, that is contracted by the federal government.  

We have an opportunity for a Project Coordinator to join us on a full-time basis in an ongoing capacity subject to funding (currently funded until mid-2028). The role may be located anywhere in Australia and will involve travel with overnight stays for organisation meetings, stakeholder meetings, workshops, and industry events.

About the position

The Project Coordinator supports various teams across HumanAbility and is involved managing events, creating and maintaining databases, and providing exceptional customer service.

This role will be to enhance internal capacity and assist teams in developing effective project management approaches and other systems and processes. The incumbent will possess effective organisational skills, attention to detail, and the ability to thrive in a fast-paced environment.

 

Key Accountabilities

Project Support and Coordination: Provide comprehensive administration support to various program and project teams, including planning, tracking, and ensuring project milestones are met. Assist in managing project documentation through Monday.com and develop resources to ensure smooth project execution.

Marketing Assistance: Collaborate with the communications team to support marketing and communications activities. Help create marketing materials and assist with outreach initiatives to raise awareness of HumanAbility.

Event Management: Assist in coordinating logistics for events, including workshops, conferences, and forums. Ensure all aspects of event planning and execution are well-organised and efficient.

Enquiries Management: Triage enquiries coming in to shared mailboxes and develop a customer service process (such as setting up a “ticketing” system) to ensure enquires are managed appropriately.

Database Management: Managing and maintaining several registers, databases and SharePoint libraries. Upload files into the VET National Register and GovTeams.

Stakeholder Engagement: Support the stakeholder engagement team in building and researching and maintaining data on key stakeholders. Assist in organising meetings, preparing materials, and facilitating communication between internal and external parties.

Cross-Functional Collaboration: Collaborate with colleagues from various teams to ensure seamless project delivery and organisational effectiveness. Share insights and contribute to the success of cross-functional initiatives.

Other: Observe and follow work health, safety and wellbeing policies and guidelines.

Qualifications and Experience

  • Post-secondary qualification in business administration, project management, communications, or a related field (or equivalent work experience).
  • Proven experience in project administration, event management, or marketing support.
  • Strong organisational and multitasking abilities, with keen attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite and project management tools.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Previous experience in the care and support sectors and/or vocational education and training is a plus.

This is position is offered on an ongoing basis to reflect Department of Employment and Workplace Relations (DEWR) grant funding.

All appointees must be willing to obtain a police check and Working with Children Check.

There may be times when it is required to work outside normal business hours i.e. evenings and weekends to meet operational and/or stakeholder requirements, and dependant on work deliverables, the role may be required to undertake travel. We operate a hybrid working model. While flexibility is supported, the balance of office-based work, in-person attendance at meetings, events, etc and remote work will vary depending on role, location, and business needs.
