We are currently recruiting for an exceptional Executive Assistant based in our Victoria Park head office. Reporting directly to our Chief Executive Officer, this position will be responsible for the maintenance of incoming and outgoing correspondence for our Executive Leadership Team.

Key responsibilities:

  • Provide end-to-end executive support to the CEO and executive leaders, including diary management, meeting coordination, travel planning and correspondence management.
  • Assist with the planning and coordination of internal and external Holyoake events. Including but not limited to catering, guest lists, RSVPs, communications and other logistics.

Coordinate executive and governance meetings: prepare agendas and papers, take accurate minutes, track actions, and follow up to ensure deadlines are met.

Act as a key point of contact for senior stakeholders – handling enquiries professionally, escalating as required, and maintaining confidentiality at all times.

  • Liaise with tradespeople on electrical, plumbing, and other maintenance issues across Holyoake’s offices.
  • Design and deliver high-quality presentations and written materials (e.g., slide decks, board/committee papers, briefings, reports and communications) with a strong eye for detail, layout and story.

Selection Criteria:

  • Well-developed administrative and secretarial skills, including minute taking. 
  • Excellent written and verbal communication skills.
  • Sound understanding of governance and confidentiality.
  • Experience in planning and running internal and external events and liaising with organisations on logistic matters.
  • Demonstrated experience working for multiple executives.
  • Highly developed judgement, discretion and professionalism when working with confidential and sensitive information.
  • Ability to establish effective working relationships with a variety of people at different levels both internally and externally.
  • Highly proficient in the use of Microsoft Office applications, including SharePoint and CoPilot.
