About the role

HealthWISE is seeking a motivated and organised Administration Assistant to support the effective delivery of healthcare services in Tamworth. Reporting to the Corporate Services Manager, this role provides high-quality administrative and operational support to clients, staff and stakeholders. You will play a key role in creating a welcoming, efficient environment while ensuring accurate records, smooth day-to-day operations and a strong focus on client service, confidentiality and compliance.

Key responsibilities

  • Provide front desk support including greeting clients and answering phone enquiries
  • Manage client records and appointments using clinical software systems
  • Triage and respond to emails across shared inboxes
  • Support visiting specialists and clinic operations
  • Process invoices, manage mail and maintain office supplies
  • Coordinate maintenance requests and office operations
  • Assist with fleet management, WHS checks and compliance requirements
  • Support meetings, room bookings and general administrative tasks
  • Maintain registers, records and reporting systems
  • Contribute to a positive, culturally safe and professional workplace

About you

Essential:

  • Previous administration or clerical experience (healthcare preferred)
  • Strong computer skills, including Microsoft Office (Word, Excel, Outlook, Teams)
  • High level of accuracy in data entry and record keeping
  • Ability to work independently and as part of a team
  • Strong communication skills and professional manner
  • Ability to maintain confidentiality and follow privacy requirements
  • Excellent attention to detail, organisation and time management
  • Reliability, professionalism and consistent attendance
  • Ability to remain calm under pressure
  • Understanding of workplace safety and infection control practices

Desirable:

  • Experience with medical software (e.g. Best Practice)
  • Experience in a primary healthcare setting
  • First Aid and CPR certification
  • Certificate III or IV in Health or Business Administration
  • Experience with workplace health and safety processes
