About the Role
This is not your standard Executive Legal Assistant role.
At HBA Legal, this position offers the opportunity to step into a high-impact role that goes beyond traditional support.
Combining Partner support, with involvement across team coordination, operations and firm-wide initiatives, this is a great opportunity to take ownership and make a meaningful impact.
You’ll work closely with a Partner in our Casualty & Commercial practice group, as well as our Shared Services team, playing a key role in keeping things running smoothly, supporting the team, and contributing to how we continuously improve the way we work.

What you’d be doing in this role:
Partner Support
- Provide high-level executive support, including diary, inbox and meeting management.
- Coordinate travel, expenses and key priorities to keep the Partner organised and ahead of schedule.
Legal Administration
- Draft and prepare correspondence, legal documents, reports and presentations.
- Manage end-to-end matter administration including file management, briefs and documentation.
- Support billing processes including draft bills and invoicing.
Settlements Coordination & Liaison
- Provide liaison support for settlements across the firm, assisting with coordination and communication between teams.
- Work closely with Shared Services to help ensure processes run smoothly and consistently.
- Supported by established processes, training and collaborative team, this forms a natural extension of the role.
Office & Team Coordination
- Support the smooth day-to-day running of the Brisbane office, including onboarding coordination, facilities liaison, and general office organisation.
- Act as key point of coordination for the Brisbane admin team, helping to keep workflows organised, consistent and collaborative.
- Assist with team initiatives, contributing to a well-organised and positive working environment, while working closely with Shared Services and the wider team to support process improvements as needed.
What we’re looking for
- Experience supporting senior professionals in a fast-paced environment.
- Strong legal administration and billing experience.
- Highly organised with the ability to manage competing priorities.
- Proactive, solutions-focused and confident
taking ownership.
- Strong communication skills and ability to build relationships across teams.
- Advanced skills in Microsoft Office and document management tools.
