ABOUT THE ROLE

As a Gotcha4Life Schools Program and Engagement Coordinator, you will play a crucial role in the planning, coordinating, and delivering our Mentally Fit Schools program. This role is dedicated to building strong, positive relationships with school stakeholders, including principals, wellbeing leads, and teaching staff, to ensure meaningful program delivery and long-term impact. The coordinator also supports events relating to the schools program, ensuring seamless execution and effective communication.

HOW WE WORK

The Schools Program and Engagement Coordinator role is a full time 38 hours / week position, primarily based in Sydney. We have a hybrid approach to work that continues to evolve as we respond to what is best for our team, and the people and communities we serve. Currently, we come together as a team at our Sydney CBD office to connect and collaborate 2 days a week and on other days, the team has the option to work remotely. We are a growing and passionate team, driven by building mentally fit individuals and communities. Not-for-profit Salary packaging options (Up to $18,550 annually) are also available.

KEY RESPONSIBILITIES

Planning & Coordination of School Program Delivery, and Surrounding Communities

  • Coordinate the end-to-end logistics of delivering Gotcha4Life’s Mentally Fit Schools program across 40+ schools, ensuring smooth planning, scheduling, and execution.
  • Work with schools to understand their calendars, term schedules, and key events to tailor program delivery dates and formats that suit each context.
  • Liaise with facilitators, school contacts, and internal teams to confirm session details and delivery requirements.
  • Plan and book travel, accommodation, and other logistics to support in-person school visits, including rural and remote communities.
  • Support outreach and engagement efforts, including contacting new schools or community groups and responding to enquiries.
  • Prepare and manage all program resources and materials required for school delivery.
  • Support cross-team collaboration to ensure consistent program quality, coordinating feedback loops for continuous improvement.

School Stakeholder Engagement

  • Build and nurture strong, collaborative relationships with school stakeholders, including principals, wellbeing leads, and key staff.
  • Serve as a key contact for participating schools, ensuring positive ongoing communication, support, and clarity across the program lifecycle.
  • Support school outreach to promote and expand the reach of Gotcha4Life programs, including cold outreach and lead generation.
  • Occasional travel may be required to engage with schools and support program delivery on the ground.
  • Engage and coordinate with the wider school community, engaging with local organisations (e.g. community groups, sports clubs, workplaces) to amplify program impact and strengthen community connection.

Monitoring, CRM Management & Follow-Up

  • Track and manage school delivery and engagement using HubSpot and other CRM tools.
  • Maintain a clean, up-to-date, and well-organised CRM database of school leads, contacts, and communications.
  • Ensure follow-ups and engagement touchpoints post-delivery to nurture long-term relationships with schools.

Internal Communication & Collaboration

  • Collaborate with facilitators to brief them on school context and session expectations ahead of delivery.
  • Share school-specific updates or needs with the wider teams to ensure alignment.
  • Support internal coordination meetings and contribute to planning discussions on program delivery across schools.

Evaluation and Reporting

  • Collect and input program impact data, including school surveys, facilitator feedback, and participant responses.
  • Monitor and follow up on evaluation completion rates, working closely with schools and facilitators to ensure strong data capture.
  • Contribute to monthly and quarterly reporting by compiling data and insights on school engagement and delivery outcomes.
  • Proactively evaluate and adapt processes where necessary as we scale and content develops.

ABOUT YOU

Educational Background

  • Bachelor’s degree or higher in education, community development, event management, public health, communications or a related field.

Experienced Program Coordinator

  • Minimum of 2 years experience in program coordination, community engagement, or a related field.
  • Demonstrated ability to plan, organise, and deliver programs or events in partnership with key stakeholders.

Passion for Mental Fitness in Schools

  • Energy for building mental fitness through innovative, evidence-based initiatives and a desire to make an impact in educational settings.

Organisational Excellence & Relationship Building

  • A proven track record of strong stakeholder engagement, particularly with school staff, educators, and community partners.
  • Exceptional organisational skills with the ability to manage multiple priorities, meet deadlines, and coordinate logistics with precision.
  • Strong attention to detail, resourceful problem-solving, and the ability to work autonomously in a fast-paced environment.

Excellent Communication & Interpersonal Skills

  • Outstanding verbal and written communication skills, with the ability to communicate clearly, respectfully, and professionally across different audiences.
  • Skilled at building rapport and trust, facilitating conversations, and creating a supportive and inclusive atmosphere with stakeholders and team members.

Proficiency in CRM Tools

  • Comfortable using technology to support program delivery and administration.
  • Proficiency in Hubspot and Google Suite is highly desirable.

Cultural Competence

  • An understanding of working in diverse communities, including but not limited to First Nations, BIPOC, culturally and linguistically diverse people, and LGBTQIA+ people.

Additional Requirements:

  • Current Working with Children Check or willingness to obtain one before commencement
  • Mental Health First Aid Training or willingness to obtain one within one (1) month of starting the role.
  • A current driver’s licence is desirable for regional travel.
