Job Summary

We are seeking a highly organized, proactive, and detail-oriented Administrative Assistant to provide comprehensive administrative support to the Executive Team. The ideal candidate will be a critical part of ensuring efficient office operations, managing schedules, coordinating communications, and maintaining confidential information.

Key Responsibilities

The Administrative Assistant will manage and maintain office supplies inventory, placing orders when necessary, and will oversee the organization and tidiness of common office areas and conference rooms.

They will sort and distribute incoming mail and coordinate outgoing mail and shipping, serving as the primary point of contact for external visitors, clients, and vendors.

A key function involves scheduling and coordination: managing and maintaining calendars, including scheduling meetings, appointments, and travel arrangements.

The role requires coordinating logistics for internal and external meetings, which includes booking rooms, setting up A/V equipment, and ordering refreshments, and also assisting with planning and execution of company events.

In terms of communication and documentation, the assistant must answer and screen phone calls, directing inquiries to the appropriate personnel.

They will draft, proofread, and edit correspondence, reports, presentations, and other documents, and must create and maintain organized filing systems (both physical and digital) for important company records.

Depending on departmental needs, the role may include financial and data support such as processing expense reports, managing petty cash, assisting with basic data entry, and tracking basic departmental budget information.

Finally, the assistant will undertake special projects and assignments as requested by the supervisor and must maintain strict confidentiality regarding sensitive company and personnel information.

Qualifications

Required:

We require proven experience ([X] years preferred) as an Administrative Assistant, Secretary, or in a similar administrative role, along with a high school diploma or equivalent. Candidates must have exceptional written and verbal communication skills and strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) or Google Workspace. Excellent organizational and time management skills, coupled with the ability to prioritize work and meet deadlines while handling multiple tasks simultaneously, are essential. A professional demeanor and a positive, service-oriented attitude are also mandatory.

Preferred:

A candidate with an Associate’s or Bachelor’s degree in Business Administration or a related field is preferred. Familiarity with standard office equipment (e.g., multi-line phone systems, scanners, copiers) is a plus. Experience with Google Workspace will also be viewed favorably.
