Technical Project Coordinator

The Opportunity
Five at Heart Ltd requires a highly capable Technical Project Coordinator to manage the complete project lifecycle. This role is central to successful project delivery, involving the coordination of key stakeholders, management of the design and procurement processes, and maintaining document control.
We are looking for a detail-driven professional who brings precision, discretion, and commercial awareness to every stage of the project journey. This is a high-trust, high-impact role working directly with both the Head of Delivery and the project team.
Key Responsibilities
Technical Coordination: Shop Drawings & RFI’s
– Confidently inherit and coordinate a project from the initial estimating handover to the delivery team.

– Act as the primary conduit between the drafting team and the Client/Architect.

– Coordinate the submission, revision, and approval cycles of shop drawings.

– RFI Management: Proactively identify technical gaps (finishes, hardware compatibility, site dimensions) and manage the RFI process to ensure manufacturing is never delayed by missing information.

– Maintain a live register of drawing, approvals and revisions.
–
– Manage the sample and sign off process. Ensuring that all finishes and prototypes are signed off by the architect/client and stored as the benchmark for final site inspections.
Procurement Management
– Manage the procurement of materials ensuring lead times align with the devised program.

– Manage relationships with account representatives – Including procurement forecasting, ordering and handling warranty claims.

– Managing the interdependencies between multiple specialised vendors.

– 3PL Coordination: Assist the Head Of Delivery through the management of Third-Party Logistics (3PL) providers. Adopting a “Just-in-Time” delivery approach for all projects.
Compliance & Vendor Governance
– Manage PQQ submissions and vendor platforms

– Coordinate RAMS (Risk Assessment & Method Statement) and OHS documentation

– Maintain insurance and accreditation records
Performance Indicators
– Achieve shop drawing and sample submission facilitation and approvals.

– Precisely log document control and revision management for all projects.

– Accurately procure joinery materials, hardware, and subcontractor services

– Facilitate Back-end coordination with design, fabrication, and installation teams

– Submitting comprehensive project handover documentation (pre-start WHS requirements and final O&M Manuals).
Candidate Profile
– Minimum 3+ years’ experience in a technical project support role within the Joinery / Cabinetmaking sector, ideally supported by a Certificate III or IV in Cabinet Making, Shopfitting, or Joinery and a demonstrated transition into an office-based coordination role.

– You possess a sophisticated understanding of the processes within the commercial fitout industry.

– Demonstrated proficiency in taking a project from signed-off shop drawings through to final material procurement. Placing clear, documented work orders that define scope, price, and schedule.

– Ability to interpret architectural drawings and understand manufacturing constraints.

– Strong skills in project management software. Experience with Procore or similar construction ERPs is highly regarded.

– Available for an immediate or quick start.
