About the Role
We’re looking for a practical, solutions-focused Business Systems Coordinator to help us get the most out of our client management and other business systems.
This is not a typical IT helpdesk role.
You’ll work across the organisation to improve workflows, lift system interoperability and understanding, and introduce new AI-driven capabilities that make life easier for our teams—and improve outcomes for the people we support.
You’ll be the go-to person for making our systems smarter, simpler, and more effective.
From redesigning how work flows to improving staff capability, you’ll play a key role in helping our teams spend less time on admin and more time delivering quality care.
You’ll also work closely with our software provider to introduce new AI tools and automation features, ensuring we stay ahead of the curve.
What You’ll Be Doing
Improve How We Use Business Systems
- Identify gaps, inefficiencies, and underused features
- Configure forms, workflows, and templates to better
support operations
- Ensure data is accurate, consistent, and useful
Streamline Workflows
- Map current processes and identify smarter ways of
working
- Reduce duplication, manual entry, and workarounds
- Support teams to adopt improved ways of working
Introduce AI & Automation
- Work with the vendor to roll out new AI tools and
system enhancements
- Identify opportunities to automate routine tasks
- Support staff to confidently use new features
- Monitor impact and continuously improve
Provide IT & Systems Support
- Deliver Level 1–2 support across systems and devices
- Troubleshoot issues and liaise with external IT
providers
- Manage user access and system permissions
Train & Support Staff
- Deliver practical, easy-to-understand training
- Develop user guides and quick reference materials
- Build confidence across teams in using systems
effectively
Reporting & Insights
- Develop reports and dashboards
- Support compliance and operational reporting
- Help managers use data to make better decisions
About You
You’re someone who enjoys figuring out how things work—and then making them work better.
You’re just as comfortable helping a staff member understand a new process as you are redesigning a workflow or rolling out a new system feature.
You’ll Bring:
- Experience supporting business systems or IT in a
service-based environment
- Strong understanding of workflows and process
improvement
- Ability to translate operational needs into practical
system solutions
- Excellent communication skills with non-technical users
- A proactive, problem-solving mindset
Highly Regarded:
- Experience with Client Management Systems such as
Alayacare
- Experience in aged care, community care, or health
- Exposure to AI tools or automation within business
systems
- Reporting skills (Excel, Power BI or similar)
