We’re looking for a proactive, detail-oriented Office Administrator who’s passionate about creating an amazing workplace experience. You’ll keep our office operations seamless, support our people with day-to-day needs, and help drive culture initiatives that make Employment Hero an incredible place to work.
YOUR MISSION
Workplace Experience & Team Enablement
- Manage day-to-day office operations and administrative activities to ensure a seamless workplace experience.
- Act as the primary point of contact with building management for facilities, security, parking, maintenance, and compliance matters.
- Manage procurement activities, including vendor coordination, purchasing, inventory tracking, and office supplies management.
- Administer office expenses and employee reimbursements accurately and efficiently.
- Oversee the company healthcare insurance program, supporting employee enrolment, claims, and benefit-related enquiries.
- Partner with internal stakeholders to deliver timely operational support and administrative services across the business.
Employee Experience & Culture
- Organise and coordinate employee engagement initiatives, including Social Days, team events, celebrations, and company gatherings.
- Support the delivery of culture programs, workshops, and initiatives that strengthen employee engagement and workplace culture.
- Contribute to creating a positive and inclusive employee experience throughout the employee lifecycle.
AI-First & Smart Operations
Leverage AI and automation tools (e.g. ChatGPT, Gemini, workflow automation platforms, AI copilots) to improve operational effectiveness.
Continuously identify opportunities to
- automate repetitive tasks
- streamline workflows
- reduce manual administration
- improve operational speed and accuracy
- enhance employee self-service experiences
- build scalable documentation and knowledge resources
Challenge inefficient processes and proactively drive continuous improvement through technology and automation.
Remote-First Operations & Process Excellence
- Operate effectively in a highly autonomous, remote-first environment with strong ownership and accountability.
- Communicate clearly through asynchronous channels and maintain high-quality documentation to support distributed teams.
- Build scalable, sustainable processes that support employees and stakeholders across multiple regions and time zones.
- Demonstrate proactive problem-solving and independent decision-making while collaborating effectively with cross-functional teams.
WHAT WE ARE LOOKING FOR

- Proven 2+ years of experience in office administration, operations, or a similar role.
- English communication skills (written & verbal) to work with global teams.
- A positive, open-minded, and professional attitude.
- The ability to stay calm and organized while juggling multiple priorities and unexpected situations.
- Strong problem-solving skills with the ability to manage and resolve issues effectively.
- Excellent time management, organizational, and multitasking skills.
- Great communication and interpersonal skills to work with people across teams.
- Proficiency with MS Office/ Google Workspace (bonus if you’re handy with admin tools).
- Basic design skills (Canva or similar) – not mandatory but a big plus for making things happen faster.
- A Bachelor’s degree in Business Admin, Office Management, or a related field (preferred).

Specific to this role’s responsibilities, you are offered a hybrid working model with only 2 days/ week required in the office.
