Engaging and Friendly Client Connection Team (administration)

Are you highly organised, confident on the phone, and passionate about creating smooth, supportive experiences for families? We are looking for a proactive and capable administration professional to join our Client Connection Team supporting 22 Occupational Therapists across three Melbourne locations. The top skills we need from you are:

  • Ability to multitask and manage competing priorities.

  • Comfortable having clear, professional conversations about our services, policies and fees.

  • Being a proactive team member who shows initiative and suggests improvements.

What will your day include:

  • Managing phone calls and email enquiries from families seeking support

  • Greeting families and building relationships 

  • Scheduling calendars for new bookings

  • Supporting the team of OT’s with admin tasks

  • Manage payments and confidently discussing fees and adherence to clinic policies

  • Discussing what an occupational therapist is and how we can help families (training provided in house)

  • Participating in online and in person meetings with the team

  • Socialising with our OTs and admin team

What we need from you:

  • Strong verbal and written communication, including a confident phone manner

  • Ability to multitask and prioritise tasks throughout your day

  • Flexible thinking and willingness to change ways of doing things when needed

  • Highly developed problem solving skills

  • Ability to follow structured processes while thinking critically

  • Ability to develop positive relationships with coworkers and clients

  • Enjoy working in a paediatric environment and engaging warmly with children and their families

  • Previous NDIS experience valued but not essential. Experience with the following programs also desirable but not essential, Slack, Splose, Asana

D.O.T.S. is an occupational therapy practice for children with 3 primary locations in Footscray, Werribee and Bundoora . Our Client Connection Team is structured, systems-focused and highly collaborate. We value clear communication, accountability and a desire to continuously improve the way we support our families and wider team. This role will suit someone who thrives in a fast-paced environment and takes pride in being the organisational backbone of a brilliant clinical team.

This position is available full time, Monday to Friday at our Footscray clinic.
