About the Role
We are seeking an experienced and highly organised Executive Support Officer to provide high‑level executive, administrative and governance support to the CEO and Executive Leadership Team.
This role is critical to the efficient operation of the executive office and supports governance processes, stakeholder engagement, organisational coordination and continuous improvement. It requires professionalism, discretion, initiative and excellent communication skills.
Key Responsibilities
- Provide high‑level, confidential executive and administrative support to the CEO and Executive Leadership Team
- Manage complex diaries, correspondence, meetings, travel and competing priorities
- Prepare agendas, minutes, reports, briefs and executive communications
- Coordinate Board, Executive and management meetings, including action tracking and governance records
- Support governance, compliance, audit, accreditation and reporting requirements
- Act as a central liaison between the executive office, internal teams and external stakeholders
- Provide coordination and administrative support to executive‑led projects and organisational initiatives
- Monitor timelines, deliverables, deadlines and reporting obligations
- Support continuous improvement of executive, governance and organisational systems and processes
What We’re Looking For
Essential
- Demonstrated experience providing high‑level executive or administrative support
- Excellent organisational, time‑management and prioritisation skills
- Strong written and verbal communication skills, including minute‑taking
- Ability to manage confidential and sensitive information with discretion
- Proficiency in Microsoft Office and record‑management systems
- Strong interpersonal skills and ability to work collaboratively
Desirable
- Experience working in health, community health or not‑for‑profit organisations
- Experience supporting Boards, Committees or Executive Leadership Teams
- Knowledge of governance, accreditation or health compliance frameworks
- Experience working in or alongside Aboriginal Community Controlled Health Organisations
