Reports to: Head of Customer Success

About the Role

We are looking for a detail-oriented professional to join our team in a critical administrative and enablement capacity. This role is the backbone of our Customer Success (CS) and Sales operations, ensuring that the “behind-the-scenes” processes – from deal completion, technical onboarding and renewals – run flawlessly.

You will be the Hubspot power-user for the team, handling the repetitive but essential tasks that allow our frontline CS team to focus on high-level strategy and delivering value for our customers.

What You’ll Do

Hubspot Administration: Act as the primary engine for Hubspot tasks, maintaining clean data and ensuring all tasks for the Sales and CS teams are completed accurately and on time.

Renewal Operations Support: Manage the lifecycle of customer accounts by overseeing renewal tasks, processing subscriptions, and proactively following up on overdue invoices to ensure business continuity.

Support our Sales Function: Help our Sales team organise customer meetings, rebook missed appointments and process new deals.

Technical Onboarding: Provide additional support for our technical onboarding team by handling the administrative and technical setup for new practices, ensuring a smooth transition into the Cubiko platform.

Team Support & Backup: Serve as the versatile “backup” for the CS team, stepping in to support various functions when team members are away to ensure no customer is left behind.

Process Improvement: Review and improve our workflows and documentation to boost team efficiency.

Who You Are

Hubspot Expert: You have strong, hands-on experience with Hubspot; it is a tool you know inside and out.

Process-Driven: You are detail-oriented and find satisfaction in completing repetitive tasks with high accuracy.

Expert Communicator: Comfortable conversing with customers via email and on the phone in a professional and friendly manner.

Reliable Collaborator: You enjoy a “behind-the-scenes” role where your support directly enables the success of others.

Problem Solver: You are comfortable working in a fast-paced environment and are quick to learn the nuances of the healthcare industry.

Local Resident: You enjoy the balance of hybrid work and are keen to collaborate in person at our CBD office.
