Purpose of Role
The Central Services Coordinator will provide hands-on support across the Central Services functions to ensure the smooth and compliant day to day running of the company. This role provides pivotal support in coordinating internal processes, supporting legal and organisational requirements.
Working closely with the Central Services Director and HR Manager, this role supports Health & Safety compliance, employee lifecycle administration, recruitment activity, and internal operations. Through a proactive and organised approach, you will help create a safe, efficient and well supported working environment for employees across Creation Group.
What you will be responsible for
Internal Operations Coordination
- General support to the H&S, Training and Development and Facilities functions.
- Assisting in office supplier management, coordinating office stock and consumables.
- Taking ownership of operational training schedules and Training Cost Agreements, which includes HR Matrix upkeep, e-learning scheduling, Plant and Health & Safety training.
- Assisting in the development of internal procedures and tools that enable the smooth running of the department and coordination with other departments.
Health & Safety Coordination
- Ensuring day to day management of Creation Groups accident book.
- Providing assistance to the Central Services Director in maintaining COSHH, Fire Checks and FRA, including maintaining the fire register and working with internal teams to conduct fire drills.
- Providing support to the Central Services Director in Health and Safety meetings.
- Supporting day to day Testing and Inspections across Creation Group.
- Providing assistance to ensure the internal Health & Safety policy is reviewed annually.
- Providing assistance to ensure internal RAMS are reviewed annually, and supporting the implementation of corrective actions.
- Supporting in maintaining a positive approach to health and safety culture.
Sustainability
- Contributing to the development and implementation of sustainability practices that align with company goals, including carbon emission tracking, offset initiatives, and the Carbon Reduction Strategy.
- Provide support to the Central Services Director to ensure accreditations are maintained and continuously improved by implementing Corrective Action Plans and tracking the effectiveness of sustainability practices.
- Supporting the rollout of sustainability programs, including conducting company-wide surveys and managing employee engagement initiatives.
- Tracking and reporting on the effectiveness of sustainability actions, gathering data and generating reports for internal stakeholders.
Recruitment Coordination
- Assisting in managing internal recruitment campaigns by posting job adverts, screening candidates and scheduling interviews.
- Taking ownership of candidate communications to ensure a strong candidate pipeline to support future hiring needs of the company.
- Ensuring completion of pre-employment checks for all new starters.
HR Administration
- Coordinating employee onboarding and offboarding administration.
- Supporting the HR Manager with employee relations processes, such as; disciplinary, grievance and absence management procedures.
- Ensuring accurate minute/note taking in recorded meetings when required.
- Supporting HR in the payroll process by maintaining accurate employee data, leave records, and timesheets where required.
- Providing assistance in preparing HR Documentation (contracts, letters, variations, etc)
- Supporting in responding to HR related queries and requests.
Compliance and Reporting
- Supporting in the administrative upkeep of company wide policies, procedures and document management system (DMS).
- Maintaining confidentiality and GDPR standards at all times.
- Providing assistance in internal audits and preparing reports when required.
General Support
- Supporting Central Services projects and incentives, such as support in achieving and maintaining company-wide accreditations.
- Assisting in maintaining Central Services systems and data accuracy.
- Coordinating the Central Services department calendars and meetings.
- Acting as the first point of contact for general enquiries to the Shropshire office.
- Supporting the smooth running of the office by coordinating a range of general organisational tasks. This will include managing visitor check-in procedures, maintaining accurate employee lists, organising company events, birthdays, and seasonal initiatives such as Christmas hampers.
- Fostering a positive and productive environment by coordinating the day-to-day Central Services needs.
What we are looking for
The successful candidate will be a proactive, hands on administrator who enjoys being involved in day to day internal business operations. They will be highly organised, approachable and comfortable juggling a varied workload across Office and Site based operations, H&S, HR & Recruitment and Sustainability.
- At least 2 years of experience in an Administrator/Coordinator role.
- A confident communicator who builds trust between internal and external stakeholders.
- Cool-headed, proactive, and solutions-focused when things get hectic.
- A good understanding of confidentiality, GDPR and professional discretion.
