About the Role

We are seeking an experienced and reliable Payroll Officer & Rostering Coordinator to join our team on a full-time basis. This role combines end-to-end payroll, rostering, accounts (AP/AR), and administrative responsibilities and requires someone who is highly organised, proactive, and confident working in a fast-paced environment.

Knowledge of the SCHADS Award, NDIS billing requirements, and prior experience in the NDIS or community services sector are essential for this role.

You will work closely with HR, Finance, and Operations to ensure payroll accuracy, efficient rostering, and smooth financial processes that support both staff and participant needs.

Key Responsibilities

Payroll (Primary Focus)

  • Process end-to-end payroll using Employment Hero (KeyPay) and Xero.
  • Ensure compliance with the SCHADS Award, Fair Work legislation, and NDIS pricing arrangements.
  • Maintain accurate timesheets, allowances, penalties, sleepover rates, travel, and kilometre claims.
  • Manage STP submissions, PAYG, superannuation, and leave accruals.
  • Prepare payroll reports and reconciliations.
  • Respond to employee payroll queries in a timely and supportive manner.

Rostering & Scheduling

  • Coordinate and manage staff rosters to meet participant needs and service requirements.
  • Ensure rosters are compliant with SCHADS, NDIS requirements, staff availability, and qualifications.
  • Liaise with participants, staff, and coordinators to fill open shifts and manage last-minute changes.
  • Maintain roster accuracy across systems and ensure timesheet alignment for payroll.
  • Support operational efficiency through proactive rostering and workforce planning.

Accounts Payable (AP)

  • Process supplier invoices, reconcile accounts, and prepare payment runs.
  • Maintain accurate vendor information and assist with month-end reporting.
  • Investigate and resolve invoice discrepancies.

Accounts Receivable (AR)

  • Generate and issue client invoices, including NDIS invoice processing.
  • Reconcile participant payments, service bookings, and funding utilisation.
  • Monitor outstanding receivables and manage follow-ups for overdue accounts.

Administration & Compliance

  • Maintain employee records, onboarding documentation, and compliance files.
  • Support internal audits and reporting requirements.
  • Assist with NDIS billing administration and service data accuracy.
  • Provide general administrative support to HR, Finance, and Operations teams.
  • Maintain confidentiality of all payroll, participant, and organisational information.

Skills & Experience

Essential

  • Minimum 2–3 years payroll experience in a similar role.
  • Previous experience in the NDIS or community services sector.
  • Strong knowledge of the SCHADS Award and NDIS billing processes.
  • Proficiency in Xero and Employment Hero (KeyPay).
  • Demonstrated experience with rostering and shift coordination.
  • Strong understanding of AP and AR processes.
  • Exceptional attention to detail, accuracy, and organisational skills.
  • Ability to work autonomously and manage competing priorities.
  • Excellent communication and problem-solving skills.

Desirable

  • Experience with NDIS pricing updates and operational compliance.
  • Understanding of disability support operations and workforce constraints.

Qualifications

  • Certificate or Diploma in Payroll, Accounting, Bookkeeping, Business Administration, or equivalent experience.
  • Additional SCHADS/NDIS or payroll compliance training highly regarded.
