About the Role
The Administration team is seeking an enthusiastic and motivated individual to join our team on a casual basis, working across our Burnie and Devonport offices.
The Administration Officer supports the day-to-day operations of CatholicCare Tasmania by delivering high-quality administrative and reception services. This role ensures smooth office functioning and provides a welcoming and professional first point of contact for clients, staff, and external stakeholders.
As part of a statewide team, the role contributes to all programs across CatholicCare Tasmania.
The primary role of the Administration Officer is to provide essential support to service delivery teams, assisting individuals, families and visitors, and contributing to the effective operation of programs and functions across the organisation.
As an Administration Officer, you will be supporting the team by covering reception and front-of-house including the below client related duties:
- Managing incoming calls and inquiries.
- Signing visitors and clients into the site.
- Processing client payments.
Office and site responsibilities and duties will also include:
- Maintaining accurate data entry.
- Photocopying and collation of documents.
- Preparing and sending correspondence.
- Filing and other general administrative tasks as required to support the operation of CatholicCare Tasmania.
In addition to the above, duties will include those to support our Early Learning and Care Administration Team. These may include:
- Managing the end-to-end enrolment process.
- Monitoring the waitlist and booking requests.
- Responding to general service and parent enquiries.

Selection Criteria:
- Demonstrated relevant experience in a similar position.
- Intermediate to advanced administrative and data entry skills, with a high level of accuracy and attention to detail. Along with proficient MS Office skills, in particular the use of Outlook, Word and Excel.
- Highly developed time management and work prioritisation skills, with the ability to work independently for extended periods and meet deadlines while maintaining accuracy and quality.
- Strong interpersonal skills and confidence in engaging with customers (in our context, parents of children in our services) both over the phone and in person.
- Commitment to confidentiality, ethical practice, and respectful client service, with the ability to handle sensitive information and situations with discretion.
- Ability to work collaboratively as part of a team and liaise with people at all levels.
- Excellent written and verbal communication skills.
- Desirable experience in using a childcare management system, such as QikKids or Xplor.
- Understanding of, or willingness to learn about the mission, values, and operations of CatholicCare Tasmania and the Catholic Church in Tasmania, and a genuine alignment with its purpose and community-focused approach.
