Calexi is seeking a highly organised and proactive Business Operations Coordinator to support the day-to-day operational delivery of the business across recruitment coordination, bid support, administration, document management, and internal business operations.

This role is designed to provide flexible part-time work and is ideally suited to someone seeking consistent professional work with adaptable hours. The expected workload is approximately 2 hours per day across 4 days per week, with flexibility around how those hours are structured.

You will work closely with company leadership and support the efficient day-to-day operation of the business, operational coordination, recruitment activities, and proposal delivery.

What you will do

  • Coordinate day-to-day administrative and operational business activities
  • Support recruitment coordination activities including candidate engagement, scheduling, follow-up, and document management
  • Assist with bid and proposal preparation, submission coordination, and compliance activities
  • Maintain internal business documentation, templates, registers, and operational records
  • Coordinate calendars, meetings, action tracking, and internal follow-up activities
  • Support CRM and pipeline administration activities
  • Track operational tasks, deadlines, deliverables, and reporting activities
  • Assist with preparation of reports, presentations, and professional client-facing documentation
  • Maintain document quality, formatting, and version control standards
  • Identify opportunities for process improvement and operational maturity
  • Support internal coordination across business operations, delivery, and recruitment functions

What we are looking for

  • Previous experience in administration, operations coordination, project support, recruitment support, or business support roles
  • Strong attention to detail and ability to produce high-quality written work with minimal supervision
  • Reliable and consistent availability across agreed working days
  • Strong self-management and ability to work independently in a remote or flexible work environment
  • Professional communication and organisational discipline
  • Ability to manage competing priorities with minimal supervision
  • Strong proficiency with Microsoft 365 and standard business platforms
  • Ability to work effectively in a small business and fast-paced delivery environment
  • Ability to maintain confidentiality and handle sensitive business information appropriately

Desirable

  • Experience supporting Defence, government, ICT, cyber security, engineering, or professional services organisations
  • Experience with proposal coordination, recruitment coordination, or CRM systems
  • Exposure to project coordination or operational reporting activities
  • Australian citizenship preferred due to the nature of clients and projects
  • Ability to obtain an Australian Government security clearance is desirable.
