BuildSkills Australia is the national Jobs and Skills Council for the Built Environment sector, established by the Federal Government to work with industry to find solutions to the workforce challenges facing the Building and Construction, Property and Water industries.
Role Overview:
The Project Management Office (PMO) Administrator will serve as the central point of administrative oversight for all BuildSkills Australia approved projects, ensuring the effective tracking, monitoring, and reporting of project progress. Reporting to the Chief of Staff in the Office of the CEO, the PMO Administrator will provide essential administrative and operational support to effectively facilitate the PMO function.
This is a pivotal role for an organised, detail-oriented individual who can manage competing priorities, is self-motivated and can implement ways of working to ensure compliance with processes.
Duties and Selection Criteria
Centralised Project Tracking and Reporting
• Act as the central point for tracking and monitoring all approved BuildSkills projects, ensuring that each project’s status, deliverables, and timelines are accurately documented and reported.
• Develop and maintain systems for tracking project progress, milestones, and budget adherence for all BuildSkills projects.
Project Documentation and Records
• Assist in the development, maintenance, and organisation of project documentation and corresponding filing systems for approved BuildSkills projects.
• Maintain up-to-date project reporting that ensures transparency and clarity in project progress.
Collaboration with Functional Areas:
• Work closely with BuildSkills teams to provide administrative support for their projects.
• Ensure alignment across departments by tracking deliverables and milestones across functional teams.
Interface Between BuildSkills and DEWR:
• Serve as the primary interface for all project administration matters between BuildSkills the Department of Employment and Workplace Relations (DEWR).
• Collate and submit project status updates, reports and other required documentation to DEWR.
Project Governance & Compliance:
• Ensure all project administration aligns with BuildSkills Australia’s policies and processes. .
• Monitor projects activities to ensure compliance with Jobs and Skills Council Grant Agreement requirements.
PMO Tools & Systems Management:
• Support the implementation and integration of new tools and software, as needed, to improve project tracking and reporting processes.
• Maintain organised records and files, both electronic and physical, to ensure easy access to information and compliance with record-keeping requirements.
Skills and Attributes
Education:
• Desirable: Bachelor’s degree in business administration, Project Management, or a related field (or equivalent experience).
Experience:
• At least 1-2 years of experience in a project administrative support role.
• Experience working with project management tools and collaboration platforms (e.g., Microsoft Teams, SharePoint).
Skills & Competencies:
• Strong organisational skills with a focus on time management and attention to detail.
• Excellent written and verbal communication skills, with the ability to engage with a variety of stakeholders at different levels of the organization.
• Advanced skills in Microsoft Office (Excel, Word, PowerPoint, and Outlook).
