Position: Executive Assistant

Contract: Permanent position

Start date: 30th April 2026

Hours: Monday – Friday, 38 hours per week

Remuneration: Level 5 ($38.51 – $40.36 per hour), depending on qualifications and experience.

About the Role:

We seek to appoint a proactive, organised, and professional Executive Assistant to support the Principal and Senior Leadership Team. This role provides high‑level executive and administrative support, ensuring the smooth coordination of leadership operations and the effective flow of communication across the school. The Executive Assistant will manage confidential documentation, assist with governance processes, coordinate schedules and meetings, and contribute to broader organisational administration within Brisbane Montessori School. To be successful, you will have:

  • Proven experience providing high‑level executive support, including managing leadership calendars, compliance timelines, and strategic milestones.
  • Strong capability in preparing executive briefing papers, background documentation, and high‑quality written communications.
  • Experience drafting executive communications and coordinating Principal’s Reports, Board papers, and action registers.
  • Demonstrated understanding of governance and compliance processes, including maintaining policy registers, version control, and executive filing systems.
  • Ability to support legislative, WHS, and child‑safety compliance requirements with accuracy and confidentiality.
  • High‑level minute‑taking skills for Executive and Board meetings, ensuring precise documentation of decisions and compliance matters.
  • Confidence in managing sensitive parent enquiries and acting as a first point of contact for executive‑level matters.
  • Experience coordinating high‑level stakeholder meetings and liaising with external advisors such as legal, audit, and consultancy professionals.
  • Strong analytical and administrative skills, including preparing dashboards, summaries, data reports, and briefing materials.
  • Experience supporting census, regulatory reporting, and major school or leadership events.
  • Ability to coordinate travel logistics and prepare itineraries when required.
  • Demonstrated strong interpersonal communication skills and the ability to build positive relationships with parents, staff, and external stakeholders.
  • Experience providing project coordination across administrative or organisational functions.
  • A collaborative approach, contributing positively to team culture, engaging in reflective practice and participating in planning sessions and professional learning.
  • A commitment to modelling professionalism, confidentiality, and respect in all interactions.
  • An understanding of the school’s vision, objectives and workplace values.

What you bring:

  • Minimum Certificate IV in Business Administration or equivalent skills and experience.
  • Minimum three years’ experience in an Executive Assistant or Senior Administrative role.
  • A current Childcare First Aid & CPR certificate or willingness to obtain.
  • A current Blue Card Exemption or willingness to obtain prior to starting.
  • Strong organisational and time‑management skills, with the ability to work efficiently and independently in a dynamic environment.
  • A commitment to reflective practice, continuous improvement, and a collaborative team culture.
  • The ability to coordinate high‑level stakeholder meetings, support event planning, and contribute to executive projects.
