Position: Enrolments & Attendance Officer

Contract: Permanent position

Hours: Monday – Friday, 38 hours per week

Remuneration: Level 4 – 5 ($35.49 – $40.36 per hour), depending on qualifications and experience.

Summary:

The Enrolment and Attendance Officer plays a key role in the smooth and efficient operation of Brisbane Montessori School by managing enrolment, attendance, and essential student administration processes. This position is the first point of contact for many families, providing a welcoming, supportive and professional experience from initial enquiry through to ongoing enrolment.

Working closely with the Principal, Business Manager, Senior Leadership Team and administrative staff, the role ensures student information is accurate, confidential and compliant with legislative and school requirements. The successful candidate will be highly organised, detail-oriented and empathetic, with the ability to manage competing priorities in a busy school environment while upholding the values of Montessori education.

Responsibilities:

  • Manage the full enrolment process from initial enquiry through to confirmed placement. 
  • Reviewing, develop and maintain policies and procedures within the enrolment and attendance frameworks. Update relevant documents and procedures in accordance with the schools policies and system regulations. 
  • Maintain the accuracy and integrity of enrolment data within the school’s systems. 
  • Coordinate communication with prospective and current families, ensuring timely responses and a professional, supportive experience. 
  • Prepare and update enrolment documentation, forms, and correspondence in accordance with the school’s policies and the Privacy Act. 
  • Support marketing and communication initiatives related to enrolment and open days in collaboration with the Principal and Business Manager. 
  • Manage and liaise with classroom staff to facilitate smooth student transitions and commencement processes. 
  • Oversee the daily attendance records and ensure compliance with the Education (General Provisions) Act 2006 (Qld). 
  • Reconcile classroom roll data and follow up on absences in accordance with school policy. 
  • Generate attendance and enrolment reports for the Principal, Business Manager, and regulatory bodies as required. 
  • Ensure secure storage and confidentiality of student records in accordance with the Privacy Act and Child Safe Organisations Act 2023 (Qld). 
  • Develop and assist in preparing compliance reports and support audits or data submissions.
  • Provide administrative support to the Business Manager and Principal, including general reception duties as required. 
  • Contribute to the effective flow of communication between staff, parents, and external stakeholders. 
  • Prepare correspondence, data entry, filing, and other documentation tasks as required. 
  • Assist in maintaining accurate registers including enrolments, concessions, attendance, and student records. 
  • Contribute to the development of efficient office procedures and continuous improvement of administrative systems. 
  • Represent the school with warmth and professionalism in all communications with families and the wider community. 
  • Maintain confidentiality and uphold the school’s values in all interactions. 
  • Support school events, open days, and information sessions where enrolment and attendance processes are presented or discussed.  

Essential:

  • Certificate III in Business or a related field.
  • Minimum 3 years’ experience in an administrative role, preferably in a school or educational environment.
  • Strong data management and computer literacy skills, including Microsoft Office 365 and CRM/database platforms. 
  • Demonstrated interpersonal and communication skills with the ability to manage sensitive matters professionally. 
  • Ability to work independently and as part of a team in a busy environment. 
  • Current Blue Card (Working with Children Check) or willingness to obtain prior to commencement. 
  • Current First Aid and CPR certificates (or willingness to obtain). 

Desirable:

  • Experience in the independent education sector or within a Montessori school. 
  • Knowledge of education legislation, attendance requirements, and privacy compliance. 
  • Experience using systems such as Zunia, SchoolPro, Xero, or EdSmart. 
  • Understanding of Montessori philosophy and its focus on respect, independence, and holistic development.
