Position Summary
The Assistant Business Manager plays a crucial role in supporting the operational and strategic objectives of our educational institution in Fig Tree Pocket, Queensland. This position is designed for a mid-senior level professional who will assist in managing daily business operations, ensuring compliance with educational standards, and contributing to the overall growth and efficiency of the organisation. The ideal candidate will possess strong organisational skills and a passion for education and training.
About the Role
The Assistant Business Manager (ABM) is the senior operational and administrative partner to the Business Manager. The ABM’s durable, ongoing scope is HR operations and employment relations, contracts and procurement, external hires and lettings logistics and oversight, IT and cyber co-ordination, insurance and risk administration, governance and Board administration, and operational support for school-wide initiatives.
Key Responsibilities:
- Assist in the development and implementation of business strategies to enhance operational efficiency.
- Lead day-to-day HR and Employment Relation processes and reporting
- Coordinate and oversee administrative functions to ensure smooth daily operations.
- Mentor and provide operational support to administration staff within the school as appropriate.
- Maintain compliance with educational regulations and standards.
- Facilitate communication between departments to promote collaboration and efficiency for the day to day operations of the school.
- Manage, training, and development of staff members across the school.
- Provide financial and project administration support to the Principal and Business Manager for Capital Projects.
- Hold the contractual, commercial and reporting lead for the school’s external hires program
- Coordinate the IT MSP relationship, M365 administration, licensing and SSO.
- Lead user lifecycle (onboarding / off-boarding accounts and devices), cyber awareness training, phishing simulations and access reviews.
- Monitor and analyse performance metrics to identify areas for improvement.
- Prepare reports and presentations for management meetings.
Qualifications and Experience Essential
- Degree or Diploma in Business Administration, HR, Finance or Project Management, or equivalent experience.
- Minimum 2 years’ experience in a senior administrative, HR or operations role, preferably in an independent school, ECEC service or NFP.
- Demonstrated experience leading recruitment, contracts and supplier administration.
- Strong understanding of WHS, Privacy, child-safety and EA / Award compliance environments.
- Advanced proficiency in Microsoft 365, HRIS (e.g. Employment Hero), governance / board portal platforms and document management systems.
- Demonstrated ability to manage confidential information with integrity.
- Current Blue Card (Working with Children Check).
- Current First Aid and CPR certificates (or willingness to obtain prior to commencement).
Key Selection Criteria
Applicants must address the following criteria in their application:

Operational Leadership: Ability to lead day-to-day HR, contracts, external hires, operation and administration across a complex multi-program organisation.

Executive Administration Assistance: Demonstrated experience supporting a Executive or governance function, including pack production, statutory register maintenance and Compliance administration.

Employment Relations & WHS Administration: Strong administrative experience in EA / Award interpretation, Job Evaluation moderation, WHS compliance reporting and grievance administration.

Project & Capital Works Support (time-limited): Experience supporting projects, including cost tracking, operational reporting and donor / grant administration.

Confidentiality & Integrity: High level of professional integrity, sound judgement and discretion in handling, HR, financial and child-safety information.

Stakeholder Engagement: Strong written and verbal communication with the ability to engage respectfully with the Board, SLT, parents, contractors and community.
