Description

Healthivia is seeking an experienced, people-focused, and highly organised Senior Team Support officer, to lead our administrative team and elevate the client experience across our growing multi-disciplinary allied health organisation.

 

This is a key leadership role responsible for driving administrative performance, ensuring operational excellence, and supporting both clinicians and consultants, and clients throughout their recovery journey.

 

Key Responsibilities

  • Lead, support, and develop the administrative team to deliver outstanding client service
  • Oversee scheduling, client enquiries, billing, and daily operations
  • Ensure smooth, compliant, and efficient service delivery across the practice
  • Monitor and improve administrative performance, systems, and processes
  • Support clinicians to ensure seamless client care and experience

 

About You

  • Proven experience as a Practice Manager or in a similar leadership role
  • Strong leadership, organisational, and communication skills
  • Experience within allied health or healthcare (highly desirable)
  • A genuine passion for people, systems, and service excellence

 

Key Skills & Experience

  • Excellent time management skills and ability to meet deadlines in a fast-paced environment
  • Demonstrated commitment to delivering high standards of client care and service delivery
  • Extensive experience managing administration in a clinical or allied health setting
  • Strong problem-solving skills with a proactive, solutions-focused mindset
  • Experience with billing systems and schemes, including Medicare, HICAPS, PRODA, NDIS, and icare
  • Experience with query resolutions in a highly regulated environment
  • Extensive knowledge about referral allocation and funding requirements within different schemes.
  • Solid understanding of privacy legislation and compliance requirements
  • High attention to detail with the ability to work both autonomously and collaboratively
  • KPI-driven, with the ability to understand and influence broader business outcomes

 

 

Requirements

  • Australian working rights
  • Valid Working With Children Check (WWCC) and Police Check
  • Strong IT proficiency (Google Workspace, Microsoft Office, Zoom)
  • Working knowledge of PRODA, Medicare, and NDIS systems
