THE ROLE
This isn’t your average admin job. Yes, you’ll support the day-to-day operations of our Business Services team, but you’ll also play a role in supporting simple ICT tasks, helping streamline
processes, and keeping things running efficiently across our clinics.
As a Junior Administration Assistant at Beam, your responsibilities will include:
General Administration
- Managing incoming emails, calls, and internal requests
- Assisting with basic document formatting
- Preparing onboarding packs and supporting HR/Business Services processes
- Updating databases, maintaining filing systems, and ensuring documentation accuracy
- Organising supplies, equipment, and general office coordination
- Supporting small operational projects and administrative tasks as they arise
- Assisting with internal company events i.e. team days and social events
- Liaising with internal staff and external vendors
- Keeping shared spaces organised and efficient
- Providing general support to the Business Services Lead and broader team
- Occasionally travelling between clinic locations for meetings or training
Basic ICT Support (Beginner-Friendly no experience required)
- Assisting with user access requests, password resets (following clear steps), and account checklists
- Helping prepare and set up devices for new starters (labelling, basic updates, equipment organisation)
- Updating equipment registers, user lists, ICT spreadsheets, and maintaining storeroom organisation
- Supporting simple troubleshooting steps (checking connections, WiFi, restarts) before escalating to IT
- Maintaining ICT documentation, simple how-to guides, and process notes
- Supporting small ICT projects such as testing procedures, coordinating staff training, or tracking attendance
THE PERSON
You’re proactive, curious, and not afraid to figure things out. You’re organised, reliable, and able to juggle multiple tasks with confidence. You enjoy variety, learning new systems, and taking
initiative.
You’ll thrive in this role if you have:
- Strong organisation and time-management skills
- The ability to think ahead, prioritise, and work independently when needed
- A friendly, helpful attitude and strong communication skills
- Willingness to learn basic ICT tasks and follow clear processes
- High attention to detail and a commitment to accuracy
- Experience using Microsoft 365 (Outlook, Word, Excel, Teams)
- A positive attitude, resilience, and a willingness to give things a go
Previous admin experience is helpful but not essential — we’re happy to train the right person.
As a condition of employment, we require NSW Drivers Licence a cleared WWCC and NDIS Worker Check (we’re happy to help you apply if needed).
