Description

We are seeking a friendly, problem-solving administrator to join our team. This is a key front-of-house role where you will be the first point of contact for stakeholders, participants and staff welcoming them to our modern office in Unanderra. As a Registered NDIS Accommodation specialist, we provide services across the Illawarra & Shoalhaven regions. With multiple SIL/SDA Accommodations, in-home care and Community Participation support. Ave Maria is committed to delivering specialist, quality and tailored disability services to the unique needs of each participant.

Key Responsibilities;

  • Answering incoming calls in a timely and professional manner, relaying of messages to the appropriate staff
  • Maintaining presentation of the reception area, boardroom and common areas. Setting up for trainings, orientations, functions and meetings. Supporting with the organisation of event
  • Providing administrative support to the Team including scheduling appointments and interviews
  • Utilising a range of systems to ensure data is accurately recorded and up to date at all times
  • Reviewing and approving compliance documents, escalating as required
  • Booking contractors for a range of services including house cleaning, maintenance, vehicle inspections, real estate inspections and trades services; and communicating to the relevant teams members
  • Formatting and creating various documents in Word and Excel
  • Support in all administrative tasks throughout the office, including filing, scanning, ordering stock, packing orders and archiving.

Skills and Experience;

This is an entry-level role, however some key skills and experience include.

  • A positive and proactive attitude with the ability to problem solve a broad range of enquiries
  • Strong work ethic, and a willingness to learn
  • Friendly, professional with strong customer service delivery
  • Strong Computer literacy skills with the ability to navigate a number of different IT systems, working across multiple platforms including Microsoft Word, Excel, Outlook, and our HRIS and CRM systems
  • Previous experience in a reception, front of house, custom service or administrative role is preferred but not essential
  • Strong written & verbal communication skills with a professional customer service manner
  • A genuine interest in the community service sector, with an affinity for building relationships with a diverse range of people including our amazing participants with a broad range of physical and psychological disabilities
