Bringing together the government and private sector, AIEF provides scholarship funding for Indigenous students to complete Year 12 or tertiary studies, with career support and mentoring to help them make a successful transition to employment. 

 

Backed by some of Australia’s most influential business, philanthropic, media and community leaders, AIEF has grown from one scholarship student in 2008 to now supporting over 1,500 young Indigenous people from over 400 communities in every state and territory of Australia.

The Role

Reporting to the General Manager – Innovation and Improvement (GMI&I), the Coordinator – Innovation and Improvement is responsible for the day-to-day management and administration of AIEF’s Innovation and Improvement projects and assists in the supervision of the Executive – CRM to support the Customer Relationship Management (CRM) system at AIEF.

Key Responsibilities

The Coordinator – Innovation and Improvement will have responsibility and accountability for the following:

Project Management and Delivery

  • Act as the day-to-day lead in the management and administration of AIEF projects, working with senior internal stakeholders to understand business needs and create innovative solutions to meet those outcomes.
  • Work closely with the GMI&I to plan, scope and set project goals, map out timelines and responsibilities, prepare budgets, workshop ideas and create proofs of concept to find the optimal business solutions and seek regular feedback from business owners to ensure alignment of expectations.
  • Use CRM, Excel, Power BI and other tools to create and implement business improvements for the organisation and work with our Microsoft Dynamics Partner and/or other external providers to implement any system developments that are required as part of these solutions.

CRM Database Management

  • Support the GMI&I in maintaining relationships with our Microsoft Dynamics Partner and other external providers including ongoing discussions to assess various options for optimising and customising systems to help them grow and evolve.

Change Management and Training

  • Drive the change management of business process improvements and work with the entire organisation as a champion, providing the management tools and user systems for the long-term success and sustainability of projects, including providing training, creating the requisite user guideline resources and responding with support for the team as needs arise.
  • Manage the CRM training framework for the organisation, providing support and train-the-trainer training to the Associate – CRM to ensure best practice in their (a) delivery of CRM training to team members and (b) content creation and enhancement for the suite of administrator “how to” guides, Intranet-based end-user guidelines and training resources.

Reporting Framework Management

  • Lead and manage AIEF’s Reporting Support system end-to-end to enable the team to deliver their reporting tasks, including system set up and maintenance, quarterly review and planning meetings and delivery of reporting monitoring reports.

Supervisor of the Associate – CRM

  • Supervision of the Associate – CRM, providing support with onboarding and training in their role (as the system administrator, first-line support and troubleshooting, and central point of contact for change requests and system alterations on the Microsoft Dynamics 365 platform) and in the ongoing review and audit of their work to ensure the highest quality standards are maintained for operations across all areas of the business.

Coordinate policies and procedures, the onboarding and training of new team members, and annual reporting processes

  • Support the GMI&I to perform ad hoc duties as required by the organisation from time to time.

Key Selection Criteria

  • Minimum Bachelor’s degree in a relevant field such as business management, project management or IT systems or equivalent work experience
  • Strong working knowledge of associated technologies including Microsoft Dynamics 365, Office 365, Excel, Power BI and SharePoint
  • High standard of general IT, office systems skills and data analysis, particularly Microsoft Office applications
  • Previous experience in an end-user technical support role with a proven customer service orientation
  • Have well-developed analytical, problem solving and decision-making abilities (a solution-oriented mindset and approach to problem solving)
  • Demonstrated experience in building effective and professional relationships with internal and external stakeholders
  • Ability to handle confidential information with discretion and professionalism
  • Ability to understand financial data and produce reports using Excel
  • Ability to work under pressure and manage multiple tasks and deadlines
  • Strong organisational skills and attention to detail
  • Excellent written and verbal communication skills, with the ability to convey complex ideas clearly and concisely
  • Ability to collaborate effectively with a range of stakeholders
  • Proactive, self-motivated and able to work independently
  • Experience working in Indigenous education is highly desirable

The role will require travel to meetings, conferences and events as needed.
