About the Role:

Following an internal promotion, our Mordialloc office is currently seeking a Senior Office Coordinator on a permanent full-time basis.

The Senior Office Coordinator works closely with the Business Support team to look after the office, ensure the office building is maintained and that employees have the tools and resources they need to work, as well as providing high level administrative support as required.

Key responsibilities and activities include:

  • Be the main point of contact for employee queries and manage and delegate as required.
  • Manage a small team of office assistants and train new staff as required.
  • Manage office and equipment maintenance for the office.
  • Manage the office email inbox.
  • Organise internal events and assist with organising external events, liaising with the Marketing team where required.
  • Assist employees with travel arrangements.
  • Coordination of end of month invoicing/supplier invoices.
  • Assist technical staff with report compilation, formatting, uploading and sending to clients.
  • Assist Business Support team with staff onboarding, offboarding tasks (inductions, car park allocations, maintain office key/swipe card system, updating staff lists/registers, updating team structures).

Knowledge, Skills and Experience requirements include:

  • Previous experience in a senior administration role and/or office management role.
  • A diploma and/or bachelor’s degree in business or business administration would be highly regarded.
  • Advanced knowledge of Microsoft Office, particularly Outlook, Excel, Word and PowerPoint.
  • Excellent communication skills, both written and verbal.
  • Highly organised with the ability to prioritise workloads, meet deadlines and demonstrate flexibility in dealing with staff with competing demands.
  • Be proactive and have a can-do attitude and taking initiative.
  • Working with a diverse range of people.
