Domestic Program Grants Officer
ASHM is a not-for-profit organisation seeking an experienced Grants Finance Officer – Domestic
Programs to support our domestic portfolio through high-quality financial management, reporting, and compliance of grant-funded projects.
About you
The Domestic Grants Finance Officer plays a vital role in strengthening financial stewardship and
accountability across ASHM’s domestic program portfolio. Working closely with the Senior Finance and Compliance Manager and Program teams, this position supports the effective delivery of grant-funded initiatives through accurate financial management, partner engagement, and compliance oversight.
We’re looking for someone who:

- builds strong, collaborative relationships with internal and external stakeholders

Employment Status: Fixed Term
Salary: $80K to $85K

Key Responsibilities
Grant Accounting & Donor Fund Management
- Support the financial management of grant-funded projects, ensuring compliance with funding agreements and internal policies
- Assist in establishing, maintaining, and monitoring project budgets in collaboration with Program and Contract Managers
- Track income and expenditure, ensuring accurate coding and alignment to approved budgets
- Monitor actual vs budget performance and prepare variance analysis
- Support grant acquittals and donor financial reporting within required timeframes
- Assist with reconciliations, including investigation of unspent or legacy balances
Financial Reporting & Audit Support
- Prepare accurate and timely financial reports for internal and external stakeholders
- Maintain clear, auditable financial records and documentation
- Support internal and external audits, including donor audits and accreditation processes
Compliance & Risk Management
- Ensure financial activities comply with funding agreements, Australian legislation, and organisational policies
- Support identification and mitigation of financial risks
- Monitor updates to funding and healthcare regulatory requirements
Forecasting & Project Control
- Assist with project forecasting, budgeting, and cash flow monitoring
- Identify trends in underspend, overspend, and emerging financial risk.
Cross-Functional Collaboration
- Provide financial guidance and support to Program and Contract Managers
- Liaise with internal and external stakeholders on financial queries
- Participate in meetings and contribute to effective grant management practices
- Deliver basic financial guidance or training to staff as required
Forecasting & Project Control
- Assist with project forecasting, budgeting, and cash flow monitoring
- Identify trends in underspend, overspend, and financial risk
Process Improvement
- Contribute to continuous improvement of grant accounting processes and controls
- Support enhancements to systems and reporting tools
Qualifications and Experience
Essential:
- Tertiary qualification in Accounting, Finance, or a related discipline
- 3 to 5 years’ experience in grant, project, or operational accounting
- Experience preparing financial reports for government, donor, or not-for-profit environments
- Strong understanding of budgeting, forecasting, and financial reporting
- Proficiency in financial systems and Microsoft Excel
Desirable
- Experience in the not-for-profit or health sector
- Familiarity with Australian healthcare funding environments
Skills and Abilities
- Strong attention to detail and reconciliation skills
- Ability to interpret funding agreements and donor requirements
- Excellent written and verbal communication skills
- Strong stakeholder engagement and relationship management capability
- Ability to manage multiple priorities and deadlines in a fast-paced environment
- High level of integrity, professionalism, and discretion
