We’re seeking a proactive and highly organised Administration Support Officer to join our Head Office in Kunda Park. In this role, you’ll provide professional administrative and organisational support across multiple business entities over, multiple locations helping keep our offices running smoothly and our teams supported.
About the Role
You’ll be the first point of contact for visitors and callers, manage day‑to‑day office operations, and assist managers and team leaders with scheduling, meetings, and general administrative needs. This role also supports building maintenance coordination, fleet assistance, travel bookings, and basic financial/admin tasks.
Key Responsibilities
- Front‑of‑house duties: greeting visitors, managing attendance registers, handling calls and emails.
- General office administration: stationery, mail, deliveries, meeting rooms, office upkeep, catering and staff events.
- Coordinating contractors for company property building repairs, cleaning, maintenance, and safety servicing.
- Assisting with insurance claims, asset management, audits, and invoice processing.
- Providing overflow support to the national call centre during peak events.
- Supporting managers with meeting preparation, minutes, and office events.
- Assisting new employees with onboarding, uniforms, vehicles, and office orientation.
- Booking travel, accommodation, transport, and processing allowances.
- Fleet support: servicing, repairs, signage, vehicle pickups, and condition checks.
- Coordinating rental inspections, vacate tasks, and first aid kit upkeep.
Skills & Experience
- Previous experience in an administration support role.
- Strong judgement, confidentiality, and initiative.
- Excellent organisational skills and ability to prioritise in a fast‑paced environment.
- Strong written and verbal communication skills.
- High proficiency in Microsoft Office and general computer systems.
- Friendly, professional phone manner and a positive, can‑do attitude.
- Strong attention to detail and problem‑solving ability.
