The role

We are looking for a highly organised and approachable supervisor with a strong administrative background and a proven ability to coordinate workloads, lead others and improve systems and processes.

Whilst prior share registry experience is beneficial, it’s not essential — the Share Registry Supervisor will enjoy creating structure, supporting a team to perform at their best, and identifying smarter, more efficient ways of working while delivering reliable, high‑quality outcomes for clients and stakeholders.

This part-time role (0.8 FTE) is ideal for someone who enjoys balancing hands‑on technical work with people leadership, process improvement and client engagement.

Key responsibilities

  • Lead and mentor a team to ensure high performance and professional growth.
  • Drive continuous improvement initiatives and contribute to system and process enhancements.
  • Oversee daily operations of the share registry, ensuring accuracy, compliance, and timely processing of shareholder transactions.
  • Communicate with Community Bank Board members and shareholders regarding Share Registry matters.
  • Engage and process new clients to the Registry Direct online system, including proposals and preparation of terms of engagement.
  • Ensure stationery proformas and share registry forms are current and accurate.
  • Meet agreed deadlines for completion of jobs.

About you

The successful candidate will have:

  • Strong leadership skills with experience motivating teams in a fast-paced environment.
  • The ability to prioritise work duties and meet deadlines whilst maintaining a high level of attention to detail.
  • A commitment to delivering quality customer service.
  • Experience using Microsoft Office suite and the ability to learn and adapt to new systems.
  • Excellent interpersonal skills with the ability to effectively communicate with internal and external stakeholders at all levels.
  • Proven analytical and problem-solving skills, with a keen attention to detail.
  • Previous exposure to document control duties/tasks (preferred but not essential).
  • A banking, share registry or bookkeeping background may be advantageous but not essential.
