About the position
AMS is seeking a Business Support Officer – Front of House to join our Head Office team. This role is the first point of contact for visitors, clients and incoming communications and is key to creating a welcoming, professional front-of-house environment. In addition to reception and customer service duties, this position provides broad administrative support across the business, with a particular focus on RTO, student and customer enquiries, CRM management, ASIC support and sales administration.
Key Responsibilities
• Act as first point of contact for visitors, clients and incoming communications, providing professional reception and customer service
• Manage phone, email and CRM enquiries, including RTO, student, ASIC and general customer enquiries
• Support ASIC processing, including applicant enquiries, ID verification and administrative coordination
• Process sales orders, quotations, invoices, purchase orders and receipts accurately and within agreed timeframes
• Maintain accurate customer records, pricing and order history in CRM and business systems
• Support Business Development activities including lead follow-ups, proposal preparation and account coordination
• Provide administrative support to the Training team, including enrolments, student communications and payment follow-ups
• Manage shared inboxes and coordinate responses across internal teams
• Liaise with internal departments to ensure customer orders and requests are fulfilled accurately and on time
• Maintain reception, meeting rooms and office presentation, and coordinate office supplies and facilities maintenance
• Contribute to continuous improvement of administrative, customer service and business processes
• Undertake general administrative tasks as directed to support overall office effi-ciency
• Maintain accurate logs, reports and documentation for all works activity in line with AMS reporting standards.
• Verify contractor plant, equipment and personnel remain compliant with AMS induction, access and airside safety requirements.
About You

AMS will provide ongoing training and professional development to support this next step in your career, but you’ll already be off to a great start if you have previous experience in the following areas:
• Previous experience in a customer service or administrative role
• Strong attention to detail with a commitment to high-quality service delivery
• Confident written and verbal communication skills
• Strong ability to work within a team and liaise effectively with co-workers
• Strong time management skills with the ability to prioritise in a fast-paced environment
• Positive, flexible and proactive attitude with a team-first mindset
• Ability to build effective working relationships across all levels
• Ability to maintain confidentiality and handle sensitive information appropriately
• Intermediate proficiency in Microsoft Office (Word, Excel, Outlook)
• Administrative qualifications are desirable but not essential
